Assist Assistant Dean of Academic Advising Center in implementation of procedures and regulations for undergraduate students. Work closely with Coordinator and serve as a resource/ problem solver for current, returning, and transfer students; parents; faculty; and other academic units regarding institutional policies, resources, pre-registration and programs.
The following examples are intended as illustrations only of the various types of duties assigned in positions allocated to this classification. The absence of specific statement of duties does not exclude those tasks from this position if the work is similar, related, or a logical assignment of the position. 1. Report to Assistant Dean COB. 2. Assist in implementation of procedures and regulations for undergraduate students. 3. Work closely with Assistant Dean as a COB resource / problem solver for current, returning, and transfer students, parents, faculty, and other academic units regarding institutional policies, resources, pre-registration and programs. 4. Provide course advising to COB students as assigned. 5. Assist Assistant Dean in implementation of work assignments for unit secretary and student workers. 6. Interpret University regulations involving curriculum matters. 7. Determine what courses are transferable to MSU to meet degree requirements, evaluate transcripts for degree purposes, correspond with Provost Office and / or Registrar's Office regarding retroactive withdrawals, petitions for readmission and recommendations for termination. 8. Prepare paperwork to add / drop or withdraw students from courses and prepare paperwork for graduating students. 9. Assist Assistant Dean in implementing plans for all orientation sessions. 10. Gather information as required by coordinator to facilitate the production of special reports needed by the Dean and Associate Dean; prepare reports as assigned. 11. With assistance from unit secretary, maintain records of undergraduate students from COB. Maintain student database of all actively enrolled COB students. 12. Validate degree requirements for all COB students. 13. Work with Assistant Dean and enrollment services in assisting prospective students. 14. Assist Assistant Dean with recruiting materials, either as printed document or website. 15. Assist Assistant Dean in processing certificate forms for student athletes and veterans. 16. Serve as liaison with COB Admissions Coordinator in preparation for special events. 17. Work with COB standing and ad hoc committees as requested. 18. Assist Assistant Dean in responding to written inquiries pertaining to undergraduate programs and coordinate bulk mailing to prospective students in coordination with the Dean's office. 19. Complete other duties as assigned.
Bachelor's degree in Business or student related field. Minimum of 2 years academic advising experience on a university level. Excellent interpersonal, oral, and written communication skills.
Master's degree in Business or student related field. Working knowledge of MSU's core curriculum, regulations, and policies.
Knowledge, Skills, and Abilities:
1. Knowledge of federal and state financial regulations, and university financial policies and procedures. 2. Knowledge of computers and electronic databases necessary for completion of the work of the Academic Advising Center. 3. Excellent interpersonal skills combined with strong oral and written communication skills.
Working Conditions and Physical Effort
1. Mus be able to work behind a desk using computer and telephone for large percentage of work time. 2. Willingness to work extra hours when necessary, by existing workload (some night and weekend work involved).
