Rutgers, The State University of New Jersey is seeking a Lead Surgical Scheduler/Patient Liaison for the Department of Surgery/Division of Urology at the Rutgers, Robert Wood Johnson Medical School.
The primary purpose of the Lead Surgical Scheduler/Patient Liaison is to ensure that all surgeries in the OR and all out-patient procedures are scheduled in an organized, efficient and timely manner. Serves as a liaison between Urology and all surgical divisions requiring urologists present during surgery, the hospital operating rooms, radiology, oncology, insurance companies, patients and third party vendors whose equipment is required in the OR. This position serves on OR committees at the request of the Program Manager and Division Chief. Acts as a liaison for these committees and reports back to superiors and implements changes to improve productivity and OR usage of block time. Contributes to the research mission and participates in performance improvement activities in order to improve the quality, consistency, and efficiency of services provided. This position requires interaction and competency in providing care to patients in all age categories from neonates through geriatrics. Must represent the Division Chief and Program Supervisor on hospital committees in a professional manner.
Among the key duties of this position are the following:
Main liaison to the RWJ Barnabas hospitals (New Brunswick/Somerset) OR staff to ensure that all instruments, appropriate staff/technicians are available in the OR.
Must be proficient in IDX, EMR and Centricity. All acquired information relevant to each surgeon's (7 surgeons) surgical schedule must be accurate and entered in a timely manner.
Must assist and triage urology emergency and nursing phone lines to ensure that proper clinical/pharmacy numbers and medications are accurate on the nursing or physician desktop.
On a quarterly basis, meet with representatives from RWJ Barnabas operative staff including head nurses, surgical schedulers and support staff to update and review policies and procedures. Will report back to Division Chief and Program Supervisor. Will attend quarterly meetings with supervisor and urology faculty to ensure compliance with RWJ Barnabas surgery scheduling rules.
Ensures that all pre-admission testing and diagnostic testing are scheduled and results are scanned into EMR prior to surgery or procedure.
Minimum Education and Experience:
Four (4) years of progressively more responsible clerical experience including receptionist and scheduling duties plus at least two (2) years of surgical scheduling.
Required Knowledge, Skills, and Abilities:
Proficient in ICD-10 and CPT urology coding.
Knowledge of Microsoft Office.
Must be detail oriented and possess excellent interpersonal communication and organizational skills.
