The USC School of Pharmacy, Department of Pharmacology and Pharmaceutical Sciences (PPSI) is accepting applications for an Administrative Assistant II to provide administrative support to the department, faculty, and two Master of Science (MS) programs.Â Â
Job Responsibilities include:Â
Provide administrative support to PPSI department and 18 faculty.Â
Assist with dossier preparation for appointments and promotions.
Organize faculty meetings, seminars, and other events.
Arrange travel and catering.
Process reimbursements for faculty and students.
Assist in maintaining office equipment and purchases.
Manage special projects as requested by Supervisor and/or Department Chair.
Provide Blackboard/Zoom support for online classes.Â
Provide administrative support for in-person classes.Â Â
Other administration responsibilities as required.
Provide support for two MS programs.Â
Facilitate prospective student admission process.
Update and keep track of prospective student applications by using SIS and WebAdMIT. Â
Assist in emailing students regarding admission status.
Work with SOP Graduate Affairs, USC Admission Office, and PPSI Masters Programs Co-coordinators to resolve student application issues.
Answer prospective studentsâ questions about the programs or other aspects of life at USC.
Coordinate student events such as faculty research presentations.Â Â
Track enrolled student email lists by year, program, and selected lab.
Create and update a MS graduate job database.
Assist in creating and maintaining PPSI MS website pages.
Strong writing and oral communication skills.
Ability to conduct self in highly personable and professional manner.
Ability to multi-task and prioritize workload independently.
Great team player and âcan-doâ attitude. Â Â
Bachelorâs Degree and experience with dossier preparation preferred.
Proficiency with Microsoft Office (Word, Excel and PowerPoint), Outlook, Doodle Poll, Qualtrics, Kuali, Concur, Blackboard, Zoom, SIS, and WebAdMIT is a plus.
Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum educationMinimum Experience: 3 yearsMinimum Field of Expertise: Secretarial or specialized clerical and administrative experience
