The FINANCE TRANSFORMATION DEPARTMENT has an outstanding opportunity for a LIMITED TERM - PROGRAM OPERATIONS ANALYST.
The Program Operations Analyst will provide project analysis and support for the UW Medicine-UW Finance Transformation (UWM-UWFT) program and will work in close partnership with the Director and Project Management Office (PMO) Leads. This individual will work with Project Managers to manage and maintain the master project schedule, track the program budget, coordinate hiring and onboarding, serve as administrator for the team SharePoint and Jira sites, create status reports, and analyze risks/issues. The Project Coordinator may also help manage “return to work” logistics once the UW determines that it’s safe for staff to return to onsite work.
This role will be required to maintain excellent working relationships and communications with leaders across UWM and the overall UWFT program. In addition, this role will need to quickly learn the toolset used to manage the project and be able to efficiently use and manage these tools. These will be done in a fast-paced project environment that is characterized by an aggressive timeline and changing priorities.
The UWFT program is very high profile, and the outcome will be highly visible at all levels across the University. The Project Coordinator will be a key resource for the Project Management Office and will contribute to the overall successful outcome.
Perform analysis of project work plans, change requests, risks, decisions, and issues in order to identify any potential impacts to the project schedule or work plan
Responsible for formal sign-off documentation related to deliverables, critical milestones, and change requests
Act as lead/liaison between workstreams and the PMO to facilitate achievement of milestones while following established project management methodology
Train and support team members in PM tools and processes, ensuring consistent application of PM methodology and approach
Analyze risks, issues, dependencies, change requests, and blockers
Prepare documentation for weekly status reporting. Review all items weekly to identify potential duplications, recurring issues, and trends. Perform research on items that could impact schedule and complete detailed analysis of project impacts and coordination.
Responsible for the timely completion of the assessment and feedback loops in the Risks, Issues and Change Request process flows
Support detailed metric tracking around identified, specific deliverables for respective workstreams; identify how metrics should be tracked to feed status reporting for specific deliverables; construct tools and process for capturing metrics for specific deliverables on weekly basis (JIRA, Other)
Attend key workstream meetings, capture outcomes, action items, log in JIRA and make assignments – Manage completion
Update schedule throughout implementation to ensure schedule achieves key milestones
Track budget forecast/actuals and prepare reports for Director
Coordinate interviews for new team members
Coordinate onboarding of new project team members, including agendas, equipment and account provisioning
Help coordinate “return to work” logistics for UWM UWFT team members when the UW lifts onsite work restrictions
Serve as an Administrator for the project SharePoint site
Serve as an Administrator for the UWM Jira instance to track UWM risk, issues and decisions
The period of performance for this role will start on July 1, 2021, and the work tasks are estimated to continue through August 31, 2023.
Bachelor's Degree in Business or related degree
4 years’ experience working in a service role, providing support to internal or external customers
Experience with system administration
Expert level user of productivity tools, including Microsoft Word, Excel, PowerPoint, and reporting/planning tools
Experience managing budgets
Strong analytical skills and the ability to manage details
Work effectively under pressure
Demonstrated experience as a collaborative team member with good communication skills, including the ability to report important issues and options clearly to supervisor.
Ability to work independently with minimal supervision in a virtual environment
Executive presence and political savvy
Experience working with UW Medicine or in a comparable academic medical center environment
Experience working as part of a large project or system implementation team
Experience working with finance and accounting teams
Experience with project management software
Experience with Jira and Smartsheet
