The UW Finance Transformation Program (UWFT) is a $270M initiative to replace the University’s financial systems with an integrated system to manage the full suite of financial transactions and reporting needs in the UW system – to include academic, administrative, and healthcare. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances in excess of $7B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW’s highest administrative priorities, this multi-year initiative is one of the largest finance system projects in Washington State and the outcome of the program will be highly visible at all levels of the University and the state.
The University of Washington's Finance Transformation Program has an outstanding opportunity for a Senior Business Analyst to play a key role in developing and implementing the new Workday Finance Operating Model. This position is responsible for managing the process of designing, building, and testing ServiceNow applications for post go-live Finance and Procurement customer support. This position leads efforts to ensure that Finance and Procurement business processes are effectively validated and that the customer voice is sufficiently embedded in design. The Op Model Sr Business Analyst will report to the Shared Services Director, and work closely with the team responsible for establishing the post go-live operating model to ensure end-to-end business processes are well understood and mapped to meet business needs. The Op Model Sr Business Analyst will work collaboratively with UW-IT, the UWFT Design Team and Unit stakeholders to plan, document and coordinate testing activities and prepare future state end-to-end customer support model and business processes to ensure successful transformation for shared services delivery across the UW enterprise.
Investigate and analyze current state business processes and customer support landscapes and architecture
Design data collection instruments that effectively obtain the data necessary to support identified analytical objectives
Elicit requirements and operational objectives using interviews, document analysis, surveys and functional workgroups
Develop guidelines for design activities and test scripts that represent future state process transformation in support of system design and validation activities, engaging stakeholders
Establish, implement and promote effective requirements gathering methodology, documentation and management practices
Capture, evaluate, prioritize and understand business needs and translate them into business process and system requirements
Organize and synthesize large amounts of information provided by stakeholders and develop relevant business analysis artifacts, such as use cases, as-is and to-be process flows
Understand and document complex business processes, roles, business rules, policies and workflows related to current and future state customer support processes
Analyze business problems and develop solutions; identify and assess alternatives; develop business cases and proposals that support decision making among a diverse set of process partners
Critically evaluate information gathered from multiple sources and reconcile conflicts
Assess benefits to be derived from systems improvements and quantify impact to business units
Organize and coordinate testing and design activities to gather customer requirements and support stakeholder go-live readiness
Responsible for leading end-to-end business process design development to ensure that shared services process flows meet the transformation goals of the UWFT program, and the customer support needs across the UW
Collaborate closely with the Design team and Operating Model team, confirming that future state workflows are optimally designed and operational in the future state shared services
Participate in developing training materials that will support transitioning staff to new Workday workflows with shared service units, including employees within the central business units who will play a role in the end-to-end business processes
Ensure varying business needs across the UW/UW Medicine enterprise are accounted for in designing customer support processes are materials
Project Management and Leadership
Collaborate and partner with multiple stakeholders across the organization including project team members

Lead efforts focused on documenting current state and envisioning future state for institutional end to end financial processes
Communicate complex processes, problems, and solutions in a simple, compelling, accurate, and highly visual manner
Work independently to manage key components of the project—includes defining tasks, managing the work, and being accountable for the deliverables of assigned components of the customer support model
Use independent judgement to determine appropriate escalation and resolution of issues within program structure
Work with all levels of management to critically evaluate and communicate business issues/risks with conviction to campus clients and team members
Meet project deadlines to full completion
Facilitate meetings and/or design sessions to validate, prioritize, and document requirements
Make presentations to user groups and key stakeholders
Work directly with the project manager(s) to track time, schedule, budgets and compile reports as needed for quality assurance and executive review
Lead and track key project deliverables, including work plan, status reports, test plans, training plans, risk mitigation plans, quality management plans, requirements management, change management plans, and communication plans
Participate in developing and executing on post go-live modeling, dry runs, and post go-live operational testing, ensuring that all business processes flow seamlessly to create a positive experience for end users
Communication and Other Responsibilities
Facilitate issue resolution as Op Model and Business Process designs are fully articulated; anticipate and handle critical situations as they arise, and inform appropriate stakeholders
Contribute to project status reports. Represent the team in communicating project status and issues to various levels at the university, as required
Develop highly effective relationships with stakeholders and end users to support eventual adoption of customer support tools and processes
Bachelors Degree in business administration, information systems, accounting, or related field and minimum five years of experience in a technology environment doing progressively more complex business analysis and application deployment within a project or program environment such as scope definition, requirements gathering, business process re-engineering, etc.
Demonstrated experience doing greenfield work, building new systems and processes in a collaborative environment with multiple reporting structures
Demonstrated proficiency using disciplined program and project management methodologies and tools, such as project management systems, issue tracking, risk management, and requirements gathering; including ability to drive accountability and progress to timelines
Demonstrated facilitation skills with ability to help coordinate efforts across groups, synthesize information and lead stakeholders to agreement
Experience in a customer service environment
Experience with technology implementation stages to support organizing testing efforts
Professional experience with documenting operational workflows, process mapping and creating visual aids
Experience as a collaborative and supportive member of a team working to accomplish project goals
Expertise with MSFT suite, SharePoint, spreadsheets, word processing, and presentation applications; communicating concepts via effective visualization
Knowledge and experience preparing for and managing organizational change
Demonstrated excellent written and verbal communication skills, technical documentation skills, user liaison skills
Advanced critical thinking and problem solving skills
Demonstrated ability to work independently and as part of a team in a cooperative effort, managing through influence

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Experience in a large university, medical center or other large enterprise.
Experience with ServiceNow and/or Workday or similar ERP systems
Demonstrated success in facilitating work groups and ability to develop consensus
Previous experience in a senior or lead business analyst role or as key point of contact
Experience with higher education financial and/or budget processes
Experience with continuous process improvement and Lean methodologies
