Job Summary: Reporting to the Director of Creative Services, the Creative Project Manager supports the University Communications team by managing projects in support of strategic goals. The Creative Project Manager is a key member of the University Communications team, providing time-sensitive support for editorial, social media, web, and media relations colleagues within the department and for clients across campus. Responsibilities include establishing and maintaining project management processes and procedures; coordinating design projects for print and digital; determining specifications and obtaining quotes; obtaining approvals; coordinating print vendors and freelancers; coordinating photography shoots; coordinating video shoots; digital asset management (Canto); providing services to clients across campus (including Canva support); and general administrative support.
The duties of the Creative Project Manager include (but are not limited to):
Project Management Duties:
Establish and maintain client expectations; listen to clients to synthesize the project's purpose and intended outcomes (clients include in-house team members and colleagues from other departments).
Create project timelines and assign tasks with deadlines.
Attend weekly planning and status meetings with University Communications team and partners from other departments; capture next steps and assign tasks; then follow up at the next meeting.
Update project status lists in advance of the Director of Creative Services' weekly meetings with representatives of each of the Schools.
Maintains marketing campaign schedule: assigns tasks and follows up to ensure each task is completed in a timely manner.
Articulate scope of work and provide clear information to agencies, photographers, videographers, illustrators, and graphic designers.
Develop process and timelines for multiple projects simultaneously based on client requests, requirements, and workflow; keep projects on track; determine approval process for each project; identify key stakeholders.
Articulate key deliverables; diligently track down missing details and pending information.
Steer projects through initial stages all the way through completion.
Route proofs for editorial, design, and client review, comment, and approval; monitor revisions to ensure changes are made with accuracy and attention to detail.
Coordinate with designers, photographers, and videographers on project specifications, including format, printing techniques, paper selection, inks, resolution, sizing, and bindery; ensure that printed materials conform to postal requirements; oversee project specifications, estimates, and approvals.
Obtain print estimates and obtain decisions and approval from clients.
Submit ads to publications and agencies.
Assist in coordinating event display materials (pop-up banners, trade show booths, posters, etc.).
Maintain file naming convention and organization of live projects on the shared server, along with archiving of digital files and visual assets.
Provide quality control and proofreading.
Serve on university-wide committees as a representative of University Communications (e.g. Commencement Committee).
Photo and Video Production:
Coordinate photography and video needs for the department and clients.
Define and maintain video and photo processes.
Schedule shoots with freelance videographers and photographers; assist with location scouting
Coordinate video and photoshoots with main campus partners: event services, public safety, facilities management.
Ensure everyone adheres to safety guidelines during video and photoshoots (e.g. social distancing and other protocols during a pandemic).
Assist photographers and videographers during shoots.
Obtain signed consent and release forms.
Acquire assets from freelance photographers.
Deliver images to teammates and clients in a timely manner.
Maintain Redlands Image Library (Canto); determine the proper tags and keywords (names of people, buildings, events, etc.); add keywords, captions, titles to images, including photographer credits, for search optimization.
Serve University community by providing photo research as needed.
Ensure proper format of assets (e.g. resolution, sizing).
Upload videos to YouTube and other social media channels and web pages as needed.
Maintain YouTube playlists.
Fill in as a photographer for impromptu photoshoots as necessary.
Maintain office equipment inventory (cameras and computers).
Work with communications coordinator to process creative and marketing invoices for paymentor forward to the responsible department; ensure they are paid in a timely manner.
Keep photography and video matrix spreadsheet up-to-date with expenditures.
Provide backup for phones: Answer phone, transfer calls, take clear and concise messages.
Provide customer service in person or over the telephone, which requires a high degree of tact, professionalism, and institutional knowledge.
Perform a variety of clerical duties, including filing samples and preparing FedEx packages.
Run miscellaneous errands, such as delivering proofs, both on and off-campus.
Provide backup to cover administrative duties in the office.
Performs other related duties and special projects as assigned or directed.
Minimum Qualifications: A Bachelor's degree is required, a Master's degree is preferred. A minimum of three (3) years of related experience is required or equivalent combination. A current DMV printout demonstrating a good driving record must be presented prior to offer of employment. The successful candidate must understand print processes and specifications, digital and multimedia specifications for social media graphics, and web graphics. Understand project management tools, digital asset management, and online templates (Canva). Familiar with content management systems and Adobe Creative Suite. Must be proficient in Microsoft Office. Must have strong organizational, planning, and time management skills. Demonstrates initiative, anticipates and implements next steps on projects, seeks opportunities for improvements in process as well as product. Strong verbal and personal communication skills to work effectively with others and ability to establish effective client relations. Highly organized, self-starting individual with extreme attention to detail, accuracy, and precision; able to work independently with minimum supervision. Strong customer service skills, including being responsive, proactive, and pleasant. Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.
