Under general supervision, the Administrative Assistant within Buildings and Properties serves as the primary interface with the department, the AgriTech community, and the public.
This role provides a of administrative support for the director, managers, and staff within the unit. The administrative assistant acts as the primary point of contact for service and small project requests and general inquiries for Buildings and Properties. Other duties include inventory (supplies, PPE) management, and inventory management (warehouse), coordinating shipping and receiving, compliance documentation management, purchasing assistance, billing support, and creation of various reports. The administrative assistant also provides project coordination support to the Project Manager on capital projects. Assigned tasks will have the underlying goals of providing excellent customer service, and continual process improvement in maintaining compliance and training documentation.
High school diploma, with at least two years' experience working in an office environment, or an equivalent combination of education and experience.
Excellent interpersonal, oral, and written communication skills; ability to clearly communicate across levels; collaborative with and affinity for building and maintaining strong working relationships with internal and external clients.
Proven customer service with an ability to seek understanding to resolve issues as they arise.
Proficient with a variety of computer programs, with the ability to learn new software quickly; experience with Microsoft Office Suite.
Excellent self-management practices to successfully organize competing priorities to meet deadlines.
Ability to handle sensitive, confidential information with tact and discretion.
Strong attention to accuracy, and an ability to create and maintain detailed records.
Works well both individually and within a team environment; ability to foster a team environment while meeting individual and unit goals in accordance with the broader mission.
Ability to work with others and represent the unit in a professional and ethical way by exhibiting tact, diplomacy, and support, to create a high quality and respectful work environment.
Ability to sit or stand for extended periods of time.
Demonstrated understanding of, and support for, the importance of effective and honest feedback.
Strong understanding of customer service and the various tools available to provide optimal support.
Experience with a computerized maintenance management system such as Maximo.
Experience with compliance and safety related documentation and record keeping.
Experience with inventory management.
