ADMINISTRATIVE ASSISTANT 2 , Schwarzman College of Computing , to perform complex and diverse duties in support of the Office of the Dean, directly supporting the assistant dean for administration and the assistant dean, diversity, equity, and inclusion; and provide administrative support for multiple programs and projects. Will help coordinate activities within the Dean's Office and across the college broadly; handle all administrative matters related to the assistant deans' calendars and meetings; be responsible for maintaining financial records and monthly financial review and control; screens phone calls and visitors; respond to internal requests for information and reports; arrange group meetings and take minutes; maintain files; plan and coordinate high profile events/meetings; coordinate complex travel and maintain supporting documentation; and perform other duties as assigned.
This will be a "shared" support position requiring a proactive approach to work and active communicative about priorities, workload, and time-management.
Job Requirements REQUIRED : high school diploma or its equivalent; at least three years' administrative, office, or related experience; excellent interpersonal, communication, grammar, proofreading, organizational, and analytical skills; initiative and flexibility; proficiency with Microsoft Office, SAP, FileMaker Pro, and Cognos; comfort with PCs and Macs; ability to identify and learn new programs/software as needed; experience updating websites, arranging travel, paying invoices, ordering supplies, reconciling accounts, and submitting expense reimbursements; discretion and judgment with confidential information; sensitivity to organizational dynamics; and attention to detail. Must be able to prioritize and handle multiple tasks simultaneously, problem-solve, collaborate with others at all levels, move objects weighing up to 20lbs., and function autonomously in a highly visible position and as part of a team in a fast-paced setting.
