To provide highly skilled administrative and financial support to the Dean of Science Office. Responsible for administrative functions related to fiscal management, correspondence and personnel matters. This position requires complex decision making while exercising initiative, and independent judgement.
Manage the Dean's calendar, arranges meetings, prepares agendas and takes minutes. Assist with the Associate Deans' calendars as needed. Process project expenses/activities under the COS Dean's Office to include but not limited to Grant vouchers/payments, purchases, conference arrangements, and reporting. Serves as administrative liaison with other departments on campus and outside organizations and agencies concerning administrative policies, procedures and practices. Assist with obtaining signatures on forms needing Dean/Associate Deans/Assistant Dean approval. Process invoices, travel vouchers and expense reports for the Dean's Office. Prepare/assist with compiling new faculty offer packets (tenure track and non-tenure track), while acting as liaison between Provost's Office and department admins. Timekeeper for the Dean's Office and the UTeach Arlington program to include processing semi-monthly and monthly time sheets. Track matching travel requests that come from all six COS departments. Creates requisitions for ordering equipment and office supplies. Tracking promotions of the tenure track and non-tenure track faculty. Assist with managing the student assistants who work in the front office and answer the main telephone line as needed. Managing Teams channels for the Dean's Office. Point of contact for student groups who meet with the Dean several times per semester. Maintaining personnel files for the Dean's Office including staff recruitment forms, appointments, change of status, leave requests, terminations and performance evaluations. Assist Associate Deans with various projects to include committee coordination and endowed chair reviews.
Bachelor's degree. Two (2) years upper level secretarial experience or High School diploma with six (6) years of increasingly responsible administrative, secretarial and clerical or the equivalent experience. Must be proficient in Microsoft software to include Outlook, Word, Excel and Teams.
Higher Education experience. Experience with UTShare, and Mav eShop.
