Temporary Job Description:
Temporary PA role for MMM, MPDD & EDI Programs
The role plays a pivotal role in supporting faculty excellence and delivering student experience in the MMM, EDI and MPD programs supporting students, faculty and operations for the programs as well as supporting program directors. The role also includes active participation and appropriate leadership of key functions related to admissions, alumni, and engagement with the broader Segal graduate community.
Temporary PA provides a variety of administrative support for student services such as:
Accounting Support and Expenses 20%
Processes and reconciles expenses, accounting transfers, and/or appropriation changes.
Verifies appropriateness and accuracy of charges.
Updates financial transaction spreadsheets and databases.
Maintains accounting balances for projects and initiatives.
Purchase materials for student projects.
Process student and faculty expense reports.
Student, Alumni, and Advisory Board Onboarding and Activities - 30%
Supports events: including scheduling faculty for workshops, planning and scheduling advising sessions, reserving rooms, addressing student requests, coordinating social activities.
Coordinates complex itineraries involving domestic and/or international travel, for faculty & students, etc.
Manages event registration.
Collects meeting agenda items and background materials.
Provides administrative support for program evaluation including preparation and collection of surveys and evaluation forms, data collection and analysis, etc.
Student Services - 25%
Provides administrative support and services courses, including preparation of course material, books, classroom supplies, and room setup.
Handles basic student inquiries, including requests for supplies, rooms’ reservations, studio needs, etc.
Orders books/articles and manages distribution to students.
Order MPD catering for class, distribute student parking passes.
Maintain MMM studio
Faculty Support - 10%
Coordinate class schedules with faculty.
Mid-point and final course surveys.
Verifying books/articles for courses with faculty.
Assist faculty with access to systems & how to use Zoom, Canvas, SES.
Send reminders of deadline dates for Canvas posting, grades (critical for adjuncts)
Program Websites 5%
Maintains websites and/or social media & blogs.
Creates new web pages and/or updates standard information/data within the application’s content management program.
Documents & Databases 5%
Independently responds to and composes correspondence.
Creates and maintains standard spreadsheets and/or databases.
Prepares queries, reports, statistics, tables, charts, etc. based on information compiled from various sources.
Determines format, elements, trends, etc.
Screens and prioritizes incoming calls.
Responds to inquiries.
Provides basic interpretation of policies and procedures.
Research information to resolve problems or issues.
Bachelor’s degree or equivalent experience.
Must be a US citizen or lawful permanent resident (for compliance with the U.S. Government requirements for issuing student immigration documents).
1-2 years of work experience as a Designated School Official (DSO).
Some knowledge of or training in international student advising (F-1 and J-1 visa classifications) plus a strong customer service background is preferred.
Must be detail-oriented, have excellent organizational skills, cultural experience, and ability to prioritize and multi-task in a constantly demanding work environment.
MS Office suite 2013 (Word, Excel, PowerPoint, Outlook).
