The position coordinates administrative functions of one of 12 area offices that is located in Burlington, KY and provides information and resources to efficiently serve students and staff; provides support services to the area coordinator and staff; assists with coordination of fire department training, prepares reports and assists in monitoring the area budget and other administrative functions as required. The position gives support to the fire departments in the state of Kentucky where applicable, adhering in all functions to KCTCS policies and procedures and local, state, and national guidelines and regulations as applicable.
Positions with the KCTCS System Office are term-contract positions, with the expectancy of continuance based on performance.
The open position is located in Burlington, Kentucky.
Prepares and maintains documentation for reports, Procard and other purchases, monitors expenditures and budgets, serves as first point of contact for the area office, prepares and edits correspondence, brochures and other documents and emails, maintains files, assists with monitoring and maintaining area website, tracks student information and maintains records.
Assists with scheduling instructors, oversees submission of class rosters, assists instructors with preparing time sheets and travel vouchers, reviews adjunct faculty applications for new instructors for accuracy and inclusion of required documentation.
Assists Coordinator with scheduling training and trailers/props for classes, fire department training and fire schools, assists with regional fire schools and other events, proctors IFSAC (International Fire Service Accreditation Congress) written exams and submits documentation to the testing coordinator for grading.
Orders and maintains inventory of office and training supplies.
Maintains and organizes office calendar, assists with managing training center, assists with mobile training props and fleet, and tracking maintenance of equipment and property.
Serves as receptionist, greets visitors, via face to face and telephone.
Performs other duties as required.
High School Diploma or GED and four (4) years relevant experience.
Associate's Degree or equivalent and four (4) years relevant experience.
Prefer Accounting and Business Administration certificates with demonstrated proficiency in Microsoft Office Suite applications. Public Safety Emergency services operations knowledge is beneficial. The individual must possess the ability to manage multiple tasks, work independently, provide strong attention to detail, provide excellent customer service in a fast paced environment, and possess strong organizational, communication and interpersonal skills. Must be a team player.
KY law requires state and national pre-employment background checks as a condition of employment.
