Rutgers, The State University of New Jersey, is seeking a Business Specialist for the School of Communication and Information (SC&I)- Dean’s Office. The Business Specialist is responsible for pre-award and post-award administration of externally-funded projects, and administration of financial systems and controls for SC&I. The position serves as an administrator of human resources transaction processing, including preparing appointments, time and labor, purchasing, and expense reports.
Among the key duties of this position are the following:
Assists with the administration of all financial processes for the SC&I business office.
Preparation and organization of all financial documents (e.g., purchase orders, journal entries, time report forms, salary reallocations, and cash deposits) received from SC&I Departments, vendors, as well as documents issued by University departments such as Purchasing and Invoice Processing for all school accounts which includes state, endowments, grants, contracts.
Processes financial documents using RIAS.
Maintains accurate internal files, enters the daily transactions, adjustments, payroll, etc. into internal spreadsheets, responsible for the preparation of monthly financial reports issued to the Deans, PIs, faculty, and senior staff.
Works with Business Manager and Principal Investigators to manage accounts, create forecasts and projections, submit budget modifications, extensions, supplemental funding requests, subcontractor modifications, consulting agreements.
Assists in administering personnel actions as related to hires at SC&I that include, regular hire of part-time lecturers, Co-Adjutant appointments, research/teaching/graduate assistants, and other hourly/student personnel.
Minimum Education and Experience:
Bachelor’s degree in accounting, finance, business administration, or a related field, or an equivalent combination of education and/or experience that demonstrates comprehensive knowledge and understanding of generally accepted accounting principles and practices.
A minimum of two (2) years of professional experience in a financial/accounting function, preferably in an institution of higher education.
Required Knowledge, Skills, and Abilities:
Computer fluency, especially familiarity with spreadsheet and database software.
High level of organizational skills, excellent communication skills, and a strong customer service orientation.
Five (5) years of professional experience in a financial/accounting function, preferably in an institution of higher education.
Knowledge of university policies and procedures; familiarity with procurement, human capital management system, Expense Report system, and other university applications is highly desired.
