Duties of a TH Staff Assistant II in Nursing Oncology/ Neurosciences may include but are not limited to the following:
Brief Description of Duties
Coordinates administrative and support functions required for the 24 hour daily operation of assigned units.
Organizes systems to establish defined standards for non-nursing functions in patient care areas.
Monitors adherence to standards and quality management; provides for safe and therapeutic patient care areas.
Conducts environmental rounds, assesses environmental problems, resolves and follows up.
Assures compliance to hospital environmental policies and standards as well as regulatory and accrediting agency standards for physical environment.
Assures that all maintenance and repair work is requested and responded to in a timely manner, following up with overdue requests.
Interacts and collaborates with other staff assistants to assure coordination of services required to provide patient care, trouble shooting problems as they develop.
Assures the availability and distribution of supplies and equipment required in the provision of patient care utilizing the appropriate hospital systems.
Utilizes Lawson system and other systems to purchase supplies and equipment specific to unit functions. Interfaces with the Purchasing Department and Finance for the processing of purchase requests.
Participates in the acquisition of new supplies and equipment and coordinates trials and pilot programs, as approved and directed by the Associate Directors/Nurse Managers.
Researches and keeps abreast of new technologies and works closely with Biomedical Engineering and Information Technology in investigating and incorporating these technologies.
Tracks unit equipment inventory. Responsible for coordinating repairs with BME and hospital physical plant as required.
Works collaboratively with finance, assure availability of equipment though inventory and property control program.
Prepares administrative statistics and reports, as directed by the Associate Directors/Nurse Managers.
Prepares monthly expense report for all accounts, state and foundation, with accurate data by expense category as designated by manager.
Participate in the Budget process collaborating with the Nurse Manager and Associate Director of Operations to: Prepare required documents, Monitor the S&E expenditures, Prepare budget transfers, Develop capital budget.
Process, tracks and maintains appropriate documents to facilitate standing orders and contracts.
Processes incoming and outgoing communications in an effective and timely manner.
Develops and maintains office filing systems so that needed information is readily accessible.
Keeps information necessary for budget preparation, programmatic reporting and financial analysis is accurate and readily available.
Processes purchase requests, requests for travel reimbursements, journal and budget transfers, work requests and the like are processed in timely and efficient manner.
Records/types meeting minutes and distributes in a timely manner as requested by the Associate Directors and Nurse Managers.
Assists with communications to donors, including appointments and acknowledgements during high volume seasons.
Maintains a courteous and helpful approach when dealing with staff and visitors.
Demonstrates a high degree of understanding of others even during the most stressful situations; resolution of conflicts and problem solving with empathy.
Keeps the Associate Directors/Nurse Managers informed and up-to-date on administrative and other issues pertinent to assigned unit.
Performs other duties as requested by the Associate Directors/Nurse Managers.
Required Qualifications : Bachelor Degree required. Must be proficient in Microsoft Excel, Word, PowerPoint and Outlook.
Preferred Qualifications : Familiarity with medical terminology. Purchasing/budget experience. Minimum of two years administrative experience.
