Detailed Job Description General Summary: Prepare internal and external financial reports and analyze information used by management for decision-making and/or to comply with regulatory requirements; and, ensure integrity of sponsored projects data used for post-award financial administration University-wide. In addition, perform post-award fiscal administration of a portfolio of sponsored projects including but not limited to accounting, internal and external financial reporting, budget compliance, analysis, and forecasting for colleges and research centers. Provide excellent service to faculty and staff who are involved in the day-to-day administration of sponsored projects.
Major Responsibilities - Financial Reporting:
Coordinate the semi-annual return of recovered Facilities and Administrative (F&A) costs to appropriate University accounts and communication to respective departments. Prepare quarterly projections and analysis of F&A recovery and returns for management.
Assist in preparation of external financial reports and surveys including AITU, ASEE, NSF HERD, and tax return financial schedules.
Prepare quarterly and year-end closing journal entries including revenue recognition accruals and account reconciliations
Independently review requests to modify project accounts in the Oracle financial enterprise system in compliance with internal and external financial reporting and budget tracking requirements. Complete quality assurance process quarterly/annually to ensure data integrity and lead efforts to correct data and educate SPA staff on the importance of sound financial reporting.
Major Responsibilities - Fiscal Management of Sponsored Projects:
Develop and maintain comprehensive knowledge of the requirements of sponsored programs administration including the application of Federal cost principles, administrative requirements, and audit requirements (OMB Uniform Guidance); federal acquisition regulations (FAR); NY State guidelines/regulations; and all related RIT organizational policies and procedures.
Work closely with Principal Investigators (PIs) and departmental administrative staff to ensure accurate and timely accounting for all sponsored project activity and resolution of outstanding issues on post-award financial management for a portfolio of grants, contracts, and cooperative agreements, including:
Attend project initiation meetings (PIMs) to gain a thorough understanding of the award's terms and conditions
Ensure accuracy of transactions through review and certification of project statements
Forecast project balances
Prepare internal and external reports
Review committed and actual effort for key personnel and determine if fluctuations require sponsor notification
Review and approve invoices, employee action forms, and position requisitions
Monitor all projects through monthly reporting; make adjustments as necessary; and, resolve account deficits and/or issues
Participate in a minimum of 40 hours of training/professional development annually (or a pro rata amount based on standard working hours) applicable to the employee's current role.

This Controller's Office role has a dual reporting structure, reporting directly to the Financial Analyst & Reporting Specialist within Sponsored Programs Accounting, as well as reporting to the Sponsored Programs Accounting Supervisor.
Required Minimum Qualifications BS in a quantitative business discipline (e.g. Accounting, Finance, Economics, Accounting Information Systems) Five to six years related accounting and financial analysis experience, OR an equivalent combination of education and applicable experience. Enterprise-wide financial applications experience, advanced knowledge of Excel and Access, and intermediate knowledge of all other MS Office products.
Skills: Strong customer service, organizational, written, and oral communications skills required. Proven ability to work independently with minimal supervision and exercise professional judgment in carrying out assigned responsibilities
Preferred: CPA or MBA; specific higher education and/or not-for-profit expertise and knowledge of the requirements of sponsored programs administration, accounting practices, and procedure. Knowledge of Lean principles including evidence of successful application to achieve process improvement.
