The Administrative Assistant supports the office and provides secretarial support to the faculty and/or staff of a designated School or Department. The position serves as a liaison between the School/Department and the University community by interacting with students, faculty, staff, affiliated sites, and administration. Strong communication and computer skills, as well as organizational abilities are required in order to perform this job successfully. This is a full-time, 37.5 hours per week position, split between two departments. This position is split between the Nutrition & Public Health Department and the Counseling & Applied Behavioral Studies Department.
Responsibilities (Include but are not limited to)
Acts as receptionist for the School/Department, answers and screens telephone calls, visitors and/or mail, takes messages.
Responds to routine requests for information regarding all School/Department programs and events refers complex requests to appropriate staff or faculty members.
Supports the School/Department in correspondence, schedules appointments, and coordinates arrangements for meetings, conferences, and travel.
Uses appropriate technology to compose and produce letters, memos, minutes of meetings, spreadsheets, reports, or presentations from general instructions.
Supports the Chairs and Department Directors in tracking information as needed.
Supports School/Department in events such as but not limited to receptions, open houses, career fairs, recruitment events, orientation, and commencement.
Maintains office files and records in accordance with School/Department procedures. Responsible for the preparation, organization and completion of contracts with facilities for the Dietetic Internship and the undergraduate programs.
Prepares list of Certificate of Insurance and forwards these to the Business department.
Supports preparation of accreditation documents.
High School diploma or equivalent required; Associates or Bachelor's degree preferred. Equivalent work experience can be substituted for preferred advanced degree.
One or more years related experience
Experience in higher education is a plus
Demonstrated ability to work collegially, balance and prioritize assignments, manage multiple projects, problem solve and offer clerical support to more than one person
Strong organizational, interpersonal, and customer service skills; ability to manage changing priorities and meet deadlines
Interest in running social media and the website for the department would be a preferred skill
Excellent oral and written skills and ability to communicate comfortably with students, colleagues, and external constituents
Ability to work in a fast paced, customer service environment with patience, flexibility and attention to detail
Possess solid general computer skills, including ability to work in a Windows environment. Proficiency with MS Office Suite, Internet, and other programs as needed (e.g., mail merge, data base management).
Familiarity with specific applications used by the University/Department a plus (One-drive, Teams, Blackboard Collaborate).
