Located at the Harvard Kennedy School (HKS)'s Belfer Center, the Environment and Natural Resources Program (ENRP)'s mandate is to conduct policy-relevant research at the regional, national, international, and global level, and through its outreach initiatives to make its products available to decision-makers, scholars, and interested citizens. The Belfer Center has a dual mission: (1) to provide leadership in advancing policy-relevant knowledge about the most important challenges of international security and other critical issues where science, technology, environmental policy, and international affairs intersect; and (2) to prepare future generations of leaders for these arenas.
ENRP is seeking a Staff/Faculty Assistant to perform a wide range of coordination and administrative support, prioritizing multiple tasks and projects in a fast-paced and dynamic environment. Reporting to the Faculty Director, the position serves as a point of contact for a wide range of constituents, including faculty, fellows, staff, and students. Supports faculty director:
Prepares course materials including locating materials online and in hard copy; submitting requests for permissions and copyright registration; ordering books and other materials; preparing handouts and lecture slides, etc.
Clerical support including composing and editing communication and correspondence, internal memos, course materials, presentations, and cases. Proofreads, enters edits, and organizes drafts for manuscripts of faculty papers and articles before publication.
Manages complex calendars, arranges individual meetings, appointments, and travel.
Uses a broad range of technical systems and software to complete administrative tasks in support of teaching, research, and other faculty duties.
Coordinates research fellowship application and selection process for ENRP and the Science, Technology, and Public Policy Program (STPP), working closely with relevant faculty and staff members. Works with the Harvard International Office to procure visas for fellows as needed.
Coordinates application and award processes ENRP summer internship and winter research funding: implements HKS central timelines, procedures and policies; markets award opportunities (winter and summer); coordinates review, selection, and distribution of awards.
Serves as liaison for students (addresses administrative questions, disseminates program and center information). Processes onboarding paperwork for student research assistants.
Uses Harvard financial systems (corporate & purchasing cards, HCOM, Concur, etc.) for vendor payments and reimbursements.
Performs office duties for the program (ordering office supplies, maintain filing systems, answering phones, opening mail, posting announcements, etc.).
Contributes to unit effort by accomplishing related duties as required.
This position is a fully benefits-eligible term appointment ending June 30, 2022, with possibility of renewal.

Minimum of 2 years' administrative experience. Internships will count toward experience requirement.
Any combination of the following is a plus, but not required:
Interest in environmental policy.
Prior experience working closely with senior faculty and within research, governmental, or large non-profit organizations.
Strong customer service experience/skills.
Proficiency in Word, Excel, Outlook, PowerPoint, and other online software.
Experience processing financial transactions.
Excellent time management and ability to prioritize tasks with minimal supervision.
Demonstrated interpersonal skills with experience providing complex administrative support to one or more supervisors.
Ability to work across teams, and with a variety of projects and constituencies.
Ability to learn and use new technical and financial applications.
