The School of Nursing (SoN) has an outstanding opportunity for a Payroll Coordinator Fiscal Specialist 2.

As part of the SoN HR and Payroll Services team (SoN HRPS), the Payroll Coordinator will work in a team setting to accomplish payroll and related tasks for an identified department within the school. The selected candidate will also partner with SoN HRPS team members and department administrators to accomplish payroll-related responsibilities. Scope and duties will include but not be limited to payroll, hiring, grants, policies, standard operating procedures, reporting, and other financial and payroll-related responsibilities.
Payroll and Administration:
•Monitors/processes payroll for faculty, staff, ASE students, and student hourly, along with partnering with administrators/grant managers in departments and/or dean's units. Proactively manages payroll deadlines and addresses discrepancies as identified, and utilizes reports as one tool, to accomplish tasks. Utilize Workday (HRIS), email, spreadsheets, databases, phone, meetings, or drop-ins, to execute the workload.
•Partners with School of Nursing administrators, faculty, and SoN HR on financial and budgeting issues related to staffing and/or grants, including but not limited to hiring, terminations, timesheets, budget and/or position changes, analyzing financial data, and independently researching and proposing solutions, or partnering with the SoN HR Program Operations Manager to solve issues.
•Collaborates with SoN HR team to design and implement internal policies and procedures related to payroll/fiscal processes within the School of Nursing; provides guidance to department personnel
•Ensures compliance with department, school, UW, state, and federal requirements.
•Keeps department leadership informed of budget and fiscal issues.
•Maintains employee records to ensure the correct documents for hiring/paying/separation of an employee is appropriately saved in hard or soft copy formats.
•Provides backup payroll support - in the absence of the SoN HR Payroll team, this position will process payroll and related tasks as needed to ensure continuity of services.
Human Resources and Department Support:
•Partners with SoN HR/administrators/supervisors, and/or processes: hiring, terminations, and other Workday actions. Proposes strategies for complex hires and impacts to the department.
•Processes overpayments, underpayments, and retro payments
•Processes faculty, staff, and student hires in Workday. Assists with processing faculty appointments with department Assistant to the Chair.
•Advises and supports supervisors of new personnel
•Time and leave management support and guidance for faculty, staff, and students
•As identified, serve on various committees that require payroll/fiscal expertise
•Grants - Oversees and analyzes or partners with department administrators, payroll certificate report (GCCRs), and Faculty Effort Certification (FEC) processes for department and provide expertise to faculty and administrators.
•Partners with Principal Investigators regarding grants to ensure budget approval. Maintain quarterly and annual spreadsheets identifying costing allotment per faculty member. Identify discrepancies and collaborate to resolve any errors.
•Maintains required documentation and records. Ensures procedures, systems and records are ready for an audit at any time.
•Payroll Reports Management (formatting, editing, reporting out data)
•Communication with SoN faculty/staff regarding budgets and allocations of funds

•Two years of experience at a level equivalent to Fiscal Specialist I AND 15 quarter hours or 10 semester hours of college-level accounting, or equivalent education/experience.
•Previous experience processing payroll in a complex environment •Proficiency with applications such as MS Office, Excel, Outlook, Word, and PowerPoint •Demonstrated ability to prioritize work and manage a heavy workload with frequent interruptions. •Demonstrated ability to work independently with minimal supervision. •Effective interpersonal skills to interact with diverse groups in a team environment. •Proven ability to proactively and independently solve problems in both routine and urgent situations. Excellent written and oral communication skills. •Experience which demonstrates consistent attention to detail and accuracy of work. •Ability to work with people of various racial, ethnic, and socioeconomic backgrounds
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
•Financial/budgeting experience in a university or research setting. •Experience with HR enterprise systems, especially Workday •Experience with UW financial systems such as MyFinancial.desktop (MyFD) and Financial Accounting System (FAS), SAGE, Student Database, etc. •Experience with creating ad hoc reports from multiple sources; analysis and ability to synthesize data •Pattern of excellent attendance and punctuality in prior positions
This position will report to the SoN HR Assistant Director with day-to-day supervision from the SoN HRPS Payroll Manager.
CONDITIONS OF EMPLOYMENT:
At times of high productivity, evening, early morning, and/or weekends may be required to accomplish workload.
