About the Job: This position is for 1 year, with the possibility for renewal. This position will provide administrative support for the Gastroenterology, Hepatology, and Nutrition Division in the Department of Medicine which includes playing a key role in all Division administrative processes.
Essential Functions or Job Duties 1. Operations and Programmatic Projects (45%) • Organizes, and directs the creation and maintenance of performance metrics (including publications, clinical productivity, grants, etc.) in collaboration with Fairview, UMP, and University stakeholders • Independently run meetings with GI leadership and staff in the development of divisional programs and initiatives • Oversees the development of the Gastroenterology, Hepatology, and Nutrition reports, including data collection, content development and managing project timeline with faculty contributors and graphic designers • Develop faculty and staff recruitment and onboarding/offboarding material, including assessing recruitment needs, writing job descriptions, and owning relationship with key Human Resource and Finance and Accounting partners • Oversees and monitors web content in coordination with the division administrative assistants • Coordinates annual retreat and annual review process in collaboration with division director and administrative colleagues • Acts as a peer leader and mentor with two junior administrative assistants, and will have the authority to provide day-to-day direction in the absence of the Division Administrator
2. Clinical Services (25%) • Researches, directs data requests, and performs data analysis for quality improvement projects initiated by division directors and faculty • Work under direction of Division Director and Division Administrator to provide faculty-focused logistical support on new clinical program development and projects for Division o Work to support faculty with credentialing and scheduling efforts o Work with clinic operations to optimize clinic schedules throughout the year, including developing protocols to optimize the QGenda scheduling and reporting tool
3. Research Support (20%) • In partnership with the administrator, manage the administrative processes supporting research, including grant applications, research staffing, effort certification and the compliant use of sponsored and restricted funds • Provide as-needed support to faculty investigators on various research projects
4. Finance (10%) • Monitors contract payments according to service schedule and recommends and implements improved system for tracking services and payments • Reviews and analyzes monthly divisional accounting statements and follows-up on issues with accountants and PIs • Attends semi-annual financial meetings to review and recommend appointment continuations • Review monthly budget and productivity reports and identify opportunities to improve overall division financial performance

Required Qualifications • BA/BS or a combination of related education and work experience to equal a minimum of four years • Advanced Microsoft Office Skills (Excel, Vizio, Word) • Demonstrated excellent verbal and written communication skills • Ability to multi-task and track multiple simultaneous projects
Preferred Qualifications • Experience in higher education • Background in research • Project management experience • Experience in medicine and/or gastroenterology • Leadership/supervisory/management experience
