Under the general supervision and direction of the Cancer Center Manager, incumbent is responsible for administrative support and clinical support to assigned Oncologists and mid-level practitioners. Responsible for coordinating and executing projects, composing correspondence, managing and maintaining complex appointment calendars, travel schedules, processes reimbursements, answers and triages incoming calls. Sort and prioritize incoming and outgoing mail. Attend and take minutes at meetings and prepare and distribute minutes. Develop and maintain extensive filing system for all patient records.
Communicate with faculty, clinic staff, administrators, professional organizations, outside agencies (i.e. insurance companies, community medical groups). Interface with clinical staff and patients via phone and in person. Perform a variety of other administrative duties in support of patient services (i.e., manuscripts, academic files, recruitment, course materials, and seminar meetings). Schedules office and procedural visits for patients. Interacts closely and communicates clearly with a variety of private and government agencies such as health insurance companies, community medical groups, Medicare, Medi-Cal, CMS, etc.
Applies knowledge of various insurance projects (HMO, PPO, POS) in order to obtain authorizations for appointments and admissions and ensure payment/reimbursement. Provide back up for coordination of weekly General Tumor Boards, which includes requesting from UCSD and VA physicians, patient cases to be reviewed. Collecting and compiling pathology reports/slides/films for each patient case from internal and external sources, and sending to Pathology & Radiology Dept for review, organizing all patient clinical information in a presentable manner, scheduling weekly meetings, and maintaining historic records on all patient cases reviewed. Other duties assigned as needed.
Demonstrated experience in working large complex healthcare setting.
Advanced skill level in MS software application including Word, Excel, PowerPoint and Access.
Experience with editing and proofreading documents, as well as writing clear, accurate correspondence, meeting minutes, and/or reports.
Excellent knowledge of grammar, spelling, punctuation and sentence structure/formats, demonstrated skill in composing correspondence.
Fast, accurate typing skills. Excellent customer service skills and ability to interact well with all patients.
Strong interpersonal, oral and written communication skills, including diplomacy, tact, and flexibility.
Proven ability to interact with all organizational levels and to communicate effectively and professionally both in person and via phone. Strong phone etiquette.
Organize tasks, prioritize and work effectively in an environment with multiple interruptions, while maintaining an organized work space.
One (1) year of related experience.
Experience using EPIC Cadence.
Must be able to work various hours and locations based on business needs.
