Dept Marketing Statement Originally founded in 1997, the Baskin School of Engineering is the first professional school at UC Santa Cruz. Baskin Engineering has grown to include six academic departments, a variety of research centers and institutes, and has ambitious plans for further programmatic growth. This position is one member of a three-person team dedicated to the Westside Research Park (WRP) and a member of the Baskin School of Engineering Facilities group reporting to the Director of Facilities. Located at 2300 Delaware Avenue, the 18-acre WRP comprises two primary buildings totaling 105,000 assignable square feet. This multidisciplinary research facility houses faculty, staff, and graduate students from Baskin Engineering Electrical and Computer Engineering Department, the Genomics Institute, the Physical & Biological Sciences Materials Sciences Program and the Arts Center for Force Majeure.
Under the direction of the WRP facilities operations manager, the facilities assistant provides facilities operational support. This position is responsible for front line support including building reception as needed. Duties include gathering information from building occupants and users, conducting initial investigations of complaints or facilities issues, communicating with requestors, submitting work orders to campus Physical Plant shops and following up with campus work crews to ensure repairs are progressing and completed. Position is also part of a team conducting physical access security administration, and updating archival space records. Position also serves as the WRP building emergency coordinator. Position will at times assist with special events and may at times, along with others in WRP facilities, augment general facilities services needed to address immediate safety concerns and issues not regularly performed by campus custodial or other units. This position may at times need to travel to the main UCSC campus.

Job Duties 90% - Facilities Support
Serve as the primary informational contact for the Westside Research Park providing assistance to university faculty, staff and students as well as public visitors, shippers, vendors, contractors, and the surrounding community. Maintain WRP website ensuring that information is accurate. Such information will include parking, facility security access (ongoing and day use), building amenity info such as bike storage, showers, events, and general campus notices.
Develop and maintain building contact rosters including lab safety reps for distribution of announcements regarding building issues and other projects that would affect or impact users and occupants.
Coordinate the WRP work order desk. Take input from the trouble tickets system, call, email and in-person visits for various work order items. Visit the site for problems, ensure the site is safe either by resolving unsafe conditions or posting signage and barricades. Conduct field verification of problems and resolve those that pose an immediate safety concern or that are not regularly handled by other campus Physical Plant shops, if possible. Refer maintenance and repairs to supervisor and/or PPDO work order desk and/or PPDO work crews as appropriate. Interface with PPDO work crews to get repair and maintenance status and update BSOE request system with updated information.
Serve as one of the 'Department Access Key Controller' as defined by the UCPD Access Control Policy, including but not limited to, programming access cards, maintaining accurate records of all access control activities, ensuring appropriate authority prior to issuing keys, ordering replacement keys as needed, recovering department keys from departing personnel, reporting any failure to recover access control keys to department management and UCPD, and securely storing unassigned keys in the department's UCPD-approved cabinets.
Provide general facilities support including updating space records in the campus FacilitiesLink database, maintaining internal building drawings, and occupancy rosters. With appropriate training, create and/or modify CAD drawings to support building projects and space moves and other space planning needs.
Purchase building supplies consumables and maintain inventory for the department as needed using the campus purchasing system (CruzBuy). Working with WRP Facilities team, operate the s shipping/receiving functions along with the campus mail stop and delivery for the building and its occupants. Assist with logistical planning of facilities installations, space moves, and related supporting tasks when needed.
Assist with special event support at the WRP. This effort may at times require the planning, configuration, and the placement of furniture which may involve setting up folding tables, chairs, banners and other equipment to support the event and the assistance with A/V, presentation technology, and user connectivity. Conduct regular periodic rounds to inspect areas for security, fire and accident hazards and take appropriate action as required, including reporting infractions of fire and building codes, building rules and other building irregularities to management so that they may be addressed by appropriate campus units including Police, Fire, and Physical Plant shops.
Inspect regulated medical waste storage area and ensure protocols regarding storage and documentation of regulated medical waste are followed and services are being provided by contracted vendors or other campus units such as Environmental Health & Safety.
10% - Other Duties
May act as Building Coordinator and/or floor monitor/marshal for organization emergency / disaster preparedness for assigned venues, serve as the communication liaison between organization service agencies and building occupants, and prepare building response plans and coordinate education and planning in this area for all building occupants.
May act as department representative for department/organization special projects related to department facilities.

Bachelor's degree in related area and / or equivalent experience / training.
