The Coordinator for Registrar Services is responsible for providing a high level of customer service to the students and faculty who work with the Doctoral Programs Office. The successful candidate should be familiar with Student Information Systems and other technology tools related to academic program management or their equivalent. The coordinator must be able to effectively prioritize multiple projects, triage requests and work in a fast-paced team environment.
Academic Records Maintenance
Ensures the confidentiality and integrity of student record information in accordance with FERPA regulations.
Responsible for maintenance and accuracy of academic records and student data.
Assists with developing, updating and documenting policies and procedures for records administration.
Coordinates with university partners and Associate Directors to ensure consistent application of policies and procedures.
Provides administrative support for student status changes, and other student data updates. Processes official transcripts, and degree and enrollment verifications for DBA students.
Assists Associate Directors with transitioning students from admits to matriculated students, including IT, SIS, and checklist set up.
Using various reporting tools (uploads/downloads and data transfers), ensures that student records are accurate and up to date in both GSAS and HBS SIS systems.
Sets up and distributes course evaluations, grade collection and postings, course enrollments and cross registration petitions in both GSAS and HBS SIS systems.
Responsible for approval process of cross registrants and student enrollment in courses.
Coordinates and communicates important HBS and GSAS deadlines. Serves as a resource for navigating multiple academic calendars, policies and platforms.
Course Planning and Enrollment
Works closely with the Associate Director on doctoral course planning, communication, and data entry processes. Collaborates with course administrators at key University departments to plan joint/cross-listed courses.
Maintains a detailed multi-year course schedule ensuring students in all programs can complete their required courses in two years.
Coordinates class schedules, classroom assignments, and updating of course, program, and registration content on the doctoral intranet pages of HBS and GSAS as appropriate.
Responsible for maintaining and documenting program requirements and policies for all doctoral programs and working closely with Associate Directors to ensure documentation is updated and recorded in a timely manner.
Coordinates MBA course enrollments for doctoral students with the MBA Registrar's office.
Provides first line tech support to faculty and students utilizing Canvas or needing HBS credentials.
Dissertation and Commencement Coordination
Assists with logistics related to dissertation defenses including scheduling, communications and reporting.
Assists with all university-wide commencement preparations and day-of activities related to commencement ceremony.
Responsible for maintaining graduate list, moving student records through the graduation processing and drafting commencement and graduation related reports and documents.
Ensures a smooth transition from student to alumni by partnering with office staff and the alumni office.
Support all-hands-on events such as Admitted Students Program, Cohort Meetings, etc.
Manage calendar/scheduling and academic event scheduling.
Other duties as required.
This position is approved for a 2-year term (with possibility of renewal/extension) which begins on the person's first day of employment. This 2-year term limit does not apply to current Harvard employees.
During the current period of COVID-19 related restrictions, this position may start as a remote position with the transition to onsite at HBS campus in Boston, MA when the office reopens.

2-3 years of professional related experience is required.
Candidate should be customer service and team orientated.
Must have demonstrated experience in data management, data queries, and/ or reporting.
Outstanding organizational skills, planning skills, and attention to detail.

Must be able to act with tact and diplomacy in a customer service role with all levels of faculty, staff, students, and external contacts.
Must be able to work well on a small team as well as individually.
Bachelor's Degree strongly preferred.
Direct experience in higher education and/or in a Registrar's Office strongly preferred.
Oracle based systems experience is a plus.
Familiarity with Student Information Systems and other technology tools related to the academic program management or equivalent strongly preferred.
