The AA prepares agenda, minutes, correspondence, organizes meetings, reserves conference rooms, assists with mailings and shipments, assists with internal and external communications and conference calls, and prepares travel logistics, including visa requirements and related business reports. Complete special projects and reports, calendar management and scheduling, preparation for meetings and other special events. Provides assistance to Central Administrative Office, including Senior Associate Dean for Clinical Affairs and Chief of Staff.
Overall Responsibilities include:
Provides administrative support to Senior Leadership/Central Administration and Senior Associate Dean for Clinical Affairs. Prepares correspondence, organizes meetings, assists with internal and external communications and conference calls.
Coordinate conferences, lectures and meetings
Manage calendars and travel arrangements
Assist in the coordination of events and dissemination of information for activities
Track completion of assignments made to supported individual's team members or other supporting teams
Edit documents, course materials, oral health care reports, and correspondence
Assist with coordination of space projects, research events, journal preparation and various ad hoc duties. Ability to multitask and follow-up on activities required
May support coordination of small facilities tasks
Prepare and distribute agendas and minutes to committees and other meetings for supported individuals
Track compliance with required meetings and filings
Respond to correspondence and inquiries
Use of University purchasing credit card to order meeting meals or manage conference fees, etc. Requires knowledge of University finance systems
Other duties as assigned
Requires a Bachelor's degree or equivalent in education, training and experience, plus two years of related experience.
Ability to work independently and as a team. Excellent judgment, tact, interpersonal skills, confidentiality required. Excellent written and oral communication skills required. Must be able to prioritize, manage diverse projects, and be detail-oriented. Computer literacy required (MSWord/Excel), Outlook and PowerPoint.
