SENIOR ADMINISTRATIVE AND FINANCIAL ASSISTANT , Civil and Environmental Engineering (CEE)- Data Science Lab (DSL) , to perform complex and diverse duties in support of a large academic area consisting of a principal investigator (PI), Ph.D. students, and researchers. Responsibilities include acting as the main point of contact for lab members and other external/internal constituents; coordinating large-scale events; participating in meetings, webinars, and executive briefings; performing various human resources tasks; supporting students with visa paperwork, recommendation letters, travel, etc.; web maintenance; drafting, editing, and proofreading various documents; responding to inquiries about the PI's programs/research; helping prospective students with admissions questions; managing the PI's calendar; arranging travel and processing travel reports and reimbursements; interfacing with vendors and MIT service providers regarding equipment purchases/service; and other duties as assigned. Financial duties include assisting with research proposal preparation and submission; assisting with preparing reports, forecasting, and disseminating related information; meeting with the PI to review and plan financial reports and forecasts; ensuring funding complies with research administration policies; reviewing and approving financial forms; performing monthly financial review and control; and maintaining records, files, and account documentation.
Job Requirements REQUIRED : high school diploma or its equivalent; five years' financial, office, or administrative experience; advanced-level proficiency with a variety of software, e.g., Microsoft Office, WordPress, Photoshop, Drupal, Concur, Kuali Coeus, eFPR, SAPgui, etc.; excellent interpersonal and communication skills for representing the PI, area, and larger MIT community; attention to detail; and discretion with confidential information. Must be able to identify and learn new programs/software as needed, navigate and perform complex web searches, prioritize multiple tasks and meet deadlines, and work independently and as part of a team.
