Rutgers, the State University of New Jersey is seeking a Administrative (Financial) Assistant for the Clinical Trials Office (CTO) within the Rutgers Institute of Translational Medicine and Science (RITMS). Under the direction of the of Rutgers Institute for Translational Medicine and Science Senior Grants Administrator, the Administrative (Financial) Assistant will assist in all aspects of the financial management including forecasting/modeling, accounting, reporting, and financial analysis. This position will be responsible for the post award administration tracking for various projects and will include preparing monthly analysis reports, actual versus budget variance tracking, processing of budget adjustments and transfers, invoicing and billing, preparation of purchase orders and requisitions, and supply expenditure control.
Among the key duties of this position are the following:
Assists with the coordination and administration of Institute programs, and/or projects, such as tracking clinical trial amendments, pilot grants, or protocols associated with special projects.
Assists in all aspects of the budgeting process for the departments, including forecasting/modeling, accounting, reporting and financial analysis.
Maintains records of expenditures, invoices and payments, track actual vs budget variance, and assist in generating monthly financial reports.
Assists in the preparation of budgets for both academic and industry projects.
Coordinates the processing of budget adjustments and transfers, changes of source of funds, salary transfers, purchase requisitions and purchase orders.
Minimum Education and Experience:
Equivalent experience, education and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Proficient with computer-based spreadsheets (i.e., Microsoft Excel).
Proficiency with Marketplace, Tableau, Oracle and Microsoft Excel.
Ability to work independently and meet required deadlines.
Flexibility with work schedule. Able to work non-traditional hours or additional hours as needed.
Excellent communication, interpersonal skills, and competence in the use of Microsoft Office Suite are required for this position.
Applicants must be detail oriented and have prior experience in organizing projects and other administrative activities.
Demonstrated experience with independent thinking, follow through and the ability to work in a deadline-driven environment are necessary.
Experience working at large academic institutions and previous experience in billing and invoicing, generating financial reports, and maintenance of budgeting and fiscal records.
Physical Demands and Work Environment:
Lift or exert force up to 30 pounds.
Training to gain access to Marketplace and the Expense Management System, must be completed within the first three months of employment.
Salary: maximum budgeted 55,000
