JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of the Student Affairs Manager, this position serves as key administrative/clerical support for handling the day-to-day operations for the College of Medicine's Associate Dean for Student Affairs & Admissions, the Assistant Deans for Student Affairs, and the Student Affairs Manager. Assists with telephone coverage, typing correspondence, filing, and coordinating departmental events, e.g., New Student Orientation and College of Medicine graduation.
DUTIES AND RESPONSIBILITIES:
Handles communications (emails, memos, phone calls); manages incoming correspondence (emails, texts, mail); manages departmental and Associate Dean's calendars; and schedules relevant events (Zoom or in person), as necessary.
Gathers meeting materials/packets pertinent to the meeting, disseminates meeting documents, creates/edits slide presentations, assembles packets, and distributes materials to all meeting participants.
Serves as person of first contact - answers phone calls and greets/directs guests and schedules/accepts appointments with students, faculty, administration, and non-UT personnel for student-related issues.
Collects information from evaluations and prepares drafts of Medical School Performance Evaluations and types/disseminates letters verifying students' accomplishments for residency and internship applications.
Coordinates and implements career planning activities and workshops for medical students.
Assists the Associate and Assistant Deans of Student Affairs in coordinating and supporting career development and planning initiatives.
Coordinates and implements programs, workshops, and training opportunities for all medical students utilizing AMA and AAMC Careers in Medicine resources.
Refers and schedules students for advanced academic, personal, career, and financial counseling sessions with Associate and Assistant Dean of Student Affairs.
Organizes individual and group sessions for faculty advisors to meet with Associate and Assistant Deans of Student Affairs to discuss ongoing career development strategies, as recommended by the AAMC.
Assists with student events, i.e., schedule dates, times, and locations of events; orders necessary paraphernalia for events, distributes programs; and coordinates meetings with vendors and staff.
Prepares travel forms for conferences, regional meeting registration, and lodging. Approves travel reimbursement requests.
Maintains and manages electronic filing systems student information.
Performs other related duties as assigned.
