The Assistant Director of Accounting Operations oversees the overall operations of payables and purchasing services, student billings and receivables, and cashiering functions of the University. This position reports directly to the Controller.
Responsible for overall management of tuition billing and collection and other miscellaneous receivables.
Manage student billing and payment websites.
Oversee Cashier and A/R functions and implement appropriate internal controls; ensure all monies collected by the University is received, recorded, and deposited in accordance with established departmental procedures in an accurate and timely manner.
Work closely with other student services departments (for example: Admissions, Registrar Office, Financial Aid, Retention, Technology Services, Deans' Offices, and Residence Life) to ensure excellent customer service and integrity of the student billing and collection processes.
Work closely with Senior Student Accounts Specialist to monitor financial registration processes for all academic programs including daily procedures, student and departmental communication, clearances, and deposit allocations.
Oversee timely posting of all banking activity including Electronic Funds Transfers (EFT), Automated Clearing House payments (ACH), wire transfers, and chargebacks.
Oversee approval of all A/P and Purchasing functions including invoices, direct payment requests, material requisitions and purchase orders, petty cash, check advances, and p-card transactions.
Oversee A/P and Purchasing policies and procedures to ensure compliance and efficient operations.
Provide accounting assistance to other departments and operations staff and respond to financial questions and concerns to meet business needs.
Implement and manage online purchasing processes used by University personnel including approval limits and set-up for MRs, POs, and p-card transactions.
Investigate potential products, practices, and services which will provide a reduction in operational costs to all areas of the University.
Work closely with Controller and Director of Fiscal Management during the annual external audit.
Perform any additional responsibilities as requested by the Controller.
Bachelor of Arts Degree in accounting or related field
Ability to identify and make recommendations with regards to internal controls and efficient system processes
Management experience or the ability to manage a small staff
Must be able to maintain an elevated level of confidentiality of accounting data
Exhibit exceptional organizational skills and the ability to work with minimal supervision
Knowledge of relevant office procedures and terminology
Ability to communicate effectively, both orally and in writing
Ability to convert and organize data into meaningful information
Effectively maintain relationships with staff and faculty in a professional manner
