We have an outstanding opportunity for an Operational Readiness Manager to oversee the UW Finance change management and communications associated with The UW Finance Transformation Program (UWFT), a $200M initiative to replace the University’s financial systems with an integrated system to manage the full suite of financial transactions and reporting needs in the UW system – to include academic, administrative, and healthcare. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances in excess of $7B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW’s highest administrative priorities, this multi-year initiative is one of the largest finance system projects in Washington State and the outcome of the program will be highly visible at all levels of the University and the state.
The Operational Readiness Manager will play a key role in ensuring that the objectives of the project are understood and accepted within UW Finance by an array of affected constituents ranging from daily to occasional users of the system, and an array of other stakeholders who may raise questions or concerns regarding this effort, and its outcomes/benefits. The Operational Readiness Manager will focus on the people side of change including changes to business processes, systems and technology, job roles and organizational structures.
This position is responsible for creating and implementing operational readiness plans that maximize employee engagement to ensure successful adoption and transition to the new system, roles and processes.
Competitive candidates will have excellent project management skills, written and oral communication skills and can work with minimal supervision, either independently or in a collaborative team environment.
Duties & Responsibilities:
Process Readiness Management (35%)
• Manage the process to arrive at a future system and organizational design to understand the current and future process workflows and system configuration decisions • Ensure clear documentation and communication of full end to end future state process flows including manual activities and activities performed in remediated systems and/or gap applications • Document, as necessary, the to-be organization and jobs/roles • Determine and document the impact of moving to the future state will have on each role within the organization • Manage risks and issues assigned to operational readiness • Develop a detailed work breakdown schedule for the Operational Readiness Team that is integrated with UW Finance Readiness Advisory Team and the UWFT Program OCM Team • Focus on the end to end process that includes activities both within and outside of Workday • Prepare people for both exciting new functionality and areas where functionality is significantly degraded
Operational Change Management (35%)
• Develop a comprehensive, actionable and targeted operational readiness strategy around changes to people, processes and systems. Identify potential people-side risks and anticipated points of resistance, and develop specific plans to mitigate or address the concerns • Define a training strategy in coordination with FT OCM; ensure key readiness training that UW FRP is responsible for is clearly defined, resourced and executed • In coordination with HR Director and OCM Director, prepare new job descriptions and understand new roles and responsibilities related to these job descriptions • Develop tools and templates to aid in the capturing and presenting of impacts of the organizational change • Develop and deploy learning opportunities for leaders and project teams to build competencies related to organizational change management. • Lead the ongoing day-to-day UWFT Finance Operational Readiness communications and support the program level strategy efforts. • Manage the development and maintenance of a comprehensive UW Finance communication plan that addresses the UWFT communication needs • Apply a structured approach and methodology for people-side change including communication plans, stakeholder plans, training plans and resistance management plans. • Provide cheat sheets, check lists, and other tools to end users in preparation for “go live”
Report metrics and milestones (20%)
• Direct readiness assessments, evaluate results, and present findings in a logical and easy-to-understand manner to sponsors and stakeholders. • Create and manage measurement systems to track adoption, utilization, and proficiency of individual changes, and adjust change management strategies and tactics as necessary. • Establish project milestones in sync with the overall UWFT project schedule; regularly report project status to stakeholders.
Coach and Assist (10%)
• Be an active and visible coach to senior leaders who are change sponsors. • Provide subject matter expertise and guidance on the management of employee changes by advising/coaching leaders and managers to support the successful execution of established change management activities and ensure alignment with business objectives. • Other duties as required.
• Bachelor’s degree in Business Administration, Organizational Development, Information Science, or related areas and six years’ experience as a project manager of complex projects including demonstrated ability to create, implement, and manage small and large projects within a team environment. • Experience and knowledge of change management principles, methodologies and tools including an understanding of how people process change and move through the change continuum. • Demonstrable leadership experience, including direction of diverse resources in a deadline-driven environment and cultivation of trust, strong collaboration and professional development on a high-performing team • Experience communicating effectively with diverse stakeholders, including customers and key process stakeholders as well as the ability to work effectively at all levels in an organization. • Proven experience leading large-scale organizational change efforts impacting people, processes, and tools. • Ability to manage a diverse range of activities in a very visible and pressured environment, exercising independent judgment in resolving problems. • Acute business acumen and understanding of organizational issues and challenges. • Ability to influence others and move toward a common vision or goal • Experience communicating with executive management during project charter development, priority setting, status and budget reporting at the Director, VP, and Executive level. • Demonstrated excellent written/oral communication skills with an ability to clearly articulate messages to a variety of audiences.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
• PMI Certification • Experience utilizing SharePoint, JIRA and agile work processes. • Experience in a large university, medical center or other large enterprise. • Experience participating in the implementation of a large enterprise resource planning (ERP) or similar software.
