The Clinic Office Assistant (COA), Office Assistant I, position, is a skilled clerical position supporting the Speech-Language Pathology (SLP) Department, in the Rangos School of Health Sciences. Specifically, the COA primarily supports the operations within the Duquesne University Speech-Language-Hearing Clinic (Clinic), which is the laboratory to the SLP Department. The Clinic serves the Duquesne University and greater Pittsburgh communities. This position requires flexibility, attention to detail, adherence to confidentiality, and the ability to work independently. Excellent interpersonal skills are essential, as the position requires considerable contact with the clients/caregivers, third party payers, faculty, staff, and students.
The position reports to the Assistant to the Department Chair, under the guidance and oversight of the Assistant Chair/Director of Clinical Education. Work will be reviewed through meetings, reports, analyses, observation of results, and feedback from members of the Department.
DUTIES AND RESPONSIBILITIES:
Collaborates with the Clinic Office Coordinator on most aspects of work.
Communicates with Clinic clients regarding billing and documentation.
Gathers and records departmental client billing documentation for new and existing clients.
Completes third-party payer verification and authorization for client services.
Communicates to clients and faculty regarding allowed coverage for frequency and duration of sessions.
Supports provider credentialing processes by communicating with DU Office of Risk Management and insurers.
Completes submission and posting of Superbills.
Completes Cash Receipts and Insurance (CR-1) forms and submits to the DU Cashier’s office.
Creates Daily Summary reports for internal audit of daily client payments.
Supports ancillary Clinic and broader Department operations as needed.
Performs other duties as assigned.
High school or vocational school diploma or equivalent.
Willingness and ability meet departmental requirements including: HIPAA certification, PA Act 153 background checks, maintain active CPR certification, & annual TB screening.
3-5 years of medical billing experience within a medical office setting.
Experience with Electronic Health Records (EHR) database management, processing of third-party payments, maintaining HIPPA compliance.
Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:
Competence with Microsoft Office applications (e.g., Word, Excel).
Ability to uphold high standards of confidentiality and discretion when dealing with sensitive and confidential information
Excellent organizational and time management skills
Ability to establish and maintain effective working relationships with students, clients, caregivers, parents, faculty, staff and administrators

Ability to establish and maintain effective working relationships with the University Community.
