We are seeking an agile Executive Assistant to the Dean who will provide senior level administrative and organizational support. The ideal candidate sees themselves as a strategic asset partnering with the Dean, a trusted advisor who is able to represent the Dean and make decisions. This role will also make enormous contributions to productivity to the college unit by freeing up the Dean to concentrate on strategic initiatives. You will often be the face and voice of the department interacting with individuals at all levels of the University, and external constituents, including industry, alumni and donors and the higher education community. This position requires professionalism and maturity at a high level of diplomacy, tact, and judgment including discretion with highly confidential materials as you build relationships with all stakeholders.
The Executive Assistant will expand on their broad understanding of the college's operations and mission to administer special projects requiring independent research and decision making. As you gain more in-depth skills and knowledge you will have the opportunity to get involved in more complex project support.
Some additional examples of responsibilities include: triaging and drafting replies to e-mails, managing complex meetings, events and travel, ensuring that meetings begin on time with prep material delivered in advance, keeping projects on track, and coordinating faculty award and fellowship nominations.
Associate's degree and 4 to 6 years relevant experience or equivalent combination
Proven record of providing high level executive support
Professionalism and maturity and a high level of diplomacy, tact, and judgment
Must display ability to work well under pressure and change direction/tasks quickly
Ability to maintain high levels of confidentiality
Demonstrated effectiveness working in a fast-paced, high-performance environment
Exceptional communication skills, both written and verbal, with an ability to respect, relate, and articulate effectively, both internally and externally to individuals and organizations of diverse backgrounds.
Must take initiative and be able to work both independently and in teams
Demonstrated organizational skills
Display original thinking and creativity; meet challenges resourcefully
Demonstrated experience with proof reading and editing materials
Ability to learn technology and management tools
Bachelor's degree with 5+ years related experience.
Prior high level administrative support experience in a not for profit or academic setting.
This position will report directly to the Associate Dean of Administration and Finance
This role is planned to be mainly in person in Ithaca, NY.
There will be occasional evening and weekend hours.
No planned travel at this time.
