Rutgers, The State University of New Jersey, is seeking a Senior Administrative Assistant for the Office of Information Technology-Enterprise Application Services (OIT-EAS). This position provides executive level support to the Enterprise Applications Services Associate Vice President, Directors, senior managers and an organization of approximately 140 staff members in support of business activities and daily operations.
Among the key duties of this position are the following:
Organizes, coordinates and supervises daily business operations.
Conducts detailed personnel tracking for EAS (absences, vacation, leave).
Enters and manages all EAS purchasing requisitions.
Creates and coordinates informational materials (ie. Presentations, internal org charts, etc) as well as manages the calendar for Associate Vice President.
Escalates and resolves issues as necessary.
Schedules appointments, arranges and coordinates events and meetings.
Minimum Education and Experience:
Bachelor’s degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, work organization, coordination and facilitation.
A minimum of two (2) years relevant experience in an administrative function with excellent communication and writing skills.
Required Knowledge, Skills, and Abilities:
Proficient in computer applications such as Microsoft Word, Excel, PowerPoint, and Outlook 365 email and calendaring systems.
Positive attitude and excellent interpersonal skills.
Ability to multi-task and prioritize responsibilities.
Experience with Jaggaer Marketplace and Peoplesoft.
