The Office of Sponsored Programs Administration supports the school's mission by serving as a central resource for the research community through the provision of expertise and leadership in obtaining and managing research funds. It acts as the institutional representative of the President and Fellows of Harvard College for the administration of sponsored projects for the school. The Office of Research Administration is comprised of research administrators that work in partnership with faculty to review and submit proposals for funding and to ensure that proposals and then awards conform and are managed according to sponsor guidelines and University policies.
The Senior Sponsored Research Administrator (SSRA), Team Lead will support innovative research at the world's leading public health research institution. Areas of research are focused across nine academic departments which include Biostatistics, Environmental Health, Epidemiology, Global Health & Population, Health Policy & Management, Immunology & Infectious Disease, Molecular Metabolism, Nutrition and Social Behavioral Sciences.
The SSRA is an integral role within the Office of Sponsored Programs Administration and supports the assigned departments and faculty/researchers (P.I.s) with the administration of pre-award, as well as award review and management tasks with a focus on compliance and customer support. Additionally, this postion assists and often takes the lead in the day to day management of the SSRA Team.
Duties and responsibilities include, but are not limited to, the following:
Responsible for a portfolio of department(s) and serves as the primary point of contact between that department and the research administration office and is responsible for the review of all their proposals and awards for compliance
Understands, interprets and applies relevant Harvard policies and sponsor guidelines and communicates to relevant stakeholders in order to ensure best grants management practices
Leads the mentoring and training of junior staff and new hires to the team and helps with ad-hoc training of department grants managers as needed
Serves as a resource to other SSRAs, the departments and the Research Administration Support Team (RAST). Identifies and provides ad hoc problem solving
Provides outstanding customer support that is consistent with established standards and best practices and prioritizes worbased on an understanding of needs and expectations
Interacts with: Academic Dept. Staff (GM, ADF, research coordinators and, as necessary, faculty/PIs), Central Offices (SPA staff, OSP, OHRA, IACUC, etc.) and External Customers (Harvard affiliates, other Harvard Schools and sponsors
Authorizes new accounts and changes to existing accounts
Advises department on terms and requirements of funding opportunities
Approves and submits eSNAP progress reports and simple foundation progress reports
Approves and submits initial no-cost extension requests in eRA commons
Reviews award notices, utilizing Assistant/Associate Director assistance (as needed), for proper account set up in GMAS
In consultation with portfolio Assistant or Associate Director, provides feedback to departments, faculty, or sponsors regarding interpretation of the terms help manage the process
Serves at the primary contact for sponsors for their specified portfolio and manages sponsor requests
Assists the Office of Sponsored Programs (OSP) with sponsor funding deposits; performs account updates independently in GMAS, as necessary
In addition, the specific duties related to the management of the team will include, but are not limited to:
In conjunction with the Senior Associate Director, Research Administration, coordinates the performance management process for members of the SSRA team
Responsible for Time approval for the team
Manages the team's workload as needed to better align with the ebb and flow of proposal submissions
Prime participant in the portfolio distribution/redistribution among the SSRA team
Plans and sets Team agendas for biweekly team meeting
Actively participating as representative on University-wide committees
Acts as an overflow reviewer for Data Use Agreements for the Associate Director Team
Establishes best practices for the SSRA Team
Liaises with departments to ensure consistent operation of the Team
Plays a key role and has a key voice in the development of Research Administration policies and practices
As a subject matter expert, leads departmental and/or school-wide training sessions on Research Administration topics of interest and assists with coordination of SPAs cross-training meeting
Leading ad hoc projects as they arise
Performing other duties as assigned.
PLEASE NOTE: This is a full-time, benefits-eligible position with a 37.5 hour work week.
PLEASE NOTE: The primary work location for this position is Boston, Massachusetts. Until our return to campus, which is still to-be-determined, this interview process and position will be conducted virtually – including virtual interviews, remote onboarding, and remote work. The remote nature of this position is only temporary. Local, on-campus work will be required as a condition of continued employment once the School and this role return to an operational status that supports it.

5+ years of experience, with 3+ years of those years in pre-award management experience (both federal and non-federal), required; a combination of education and experience may be considered
Bachelor's degree, and/or Certified Research Administrator (CRA) preferred
Post-award experience preferred
Experience in an academic, hospital, research or related environment preferred
Experience working with research faculty on grants and contracts preferred
Experience managing complex awards and working with a variety of sponsors preferred
Experience with Excel strongly preferred
Advanced working knowledge of research compliance issues & of key federal grant regulations preferred
Excellent organizational and time management skills preferred
