The Department of Regulatory Affairs at SUNY Downstate Health Sciences University is seeking a full-time Staff Associate. The successful candidate will:
Assist with the Preparation for Regulatory and Accreditation Surveys.
Assist with the development of the survey agenda.
Distribute agenda to appropriate personnel.
Make transportation arrangements and obtain locations for survey activities.
Type report findings from mock survey/actual survey activities.
Follow up on corrective action plans when needed.
Assemble Statements of Deficiencies and corresponding Corrective Action Plans.
Arrange survey preparation meetings.
Prepare binders for survey documents
Assist and facilitate the development of Administrative Policies and Procedures.
Serve as a liaison between Regulatory Affairs and other departments with regards to policies and procedures.
Edit and review new policies and procedures submitted to Regulatory Affairs.
Format policies and procedures to UHB standards.
Assign TJC Standards and hospital numbers to policies.
Classify policies according to categories and applicable TJC Standards.
Forward copy of finalized policies and procedures to the Executive Leadership for approval signature.
Transmit policies to Health Information System for loading onto the Downstate Website.
Follow up to ensure that the correct policy has been uploaded.
Maintain electronic and original paper copies of finalized policies and procedures.
Type policies as needed.
Notify policy writers and all staff members of the availability of policies online.
Provide status of policies to the Director of Regulatory Affairs and other departments as needed.
Maintain a current listing of all policies to facilitate biannual review and updating of policies.
Notify and forward copies of policies and procedures that require review, and updating to the appropriate staff.
Follow up with departments to ensure that revised policies are forwarded to Regulatory Affairs before the due date.
Format revised and prepare policies for approval by the Executive Leadership.
Collaborate with Health Information Systems to upload policy onto the intranet.
Assist with the Coordination of Regulatory Affairs Meetings.
Develop meeting schedules.
Arrange meetings as needed.
Notify committee members of meeting schedules.
Take minutes of the meeting and develop draft agenda.
Distribute minutes to committee members.
Follow up on agenda items with committee members.
Maintain copies of minutes and reports submitted by committee members.
Coordinate Mock Surveys
Conduct unit visits as part of the mock survey team.
Maintain and collate mock survey findings data and prepare reports.
Conduct verification surveys of corrective plans as needed.
Serve as the Office Manager and receptionist.
Answer office phones and arrange meetings for the department director and staff.
Identify support needs and prepare requisitions for central stores and purchasing.
Obtain approval signatures and follow up to ensure that all supplies have been received.
Follow up on incoming and outgoing correspondence (verbal and written) for the department.
Perform other functions as assigned within the Department of Quality Regulatory Risk and Patient Safety (QRRS).
Enter falls data into the TST Program and other programs and run reports.
3 years of experience in an administrative capacity, preferably in a healthcare setting.
Experience in materials management and/or personnel administration is preferred.
Proficiency in computer software programs e.g. Excel, Word, PowerPoint, Visio.
Monday to Friday; 9:00am to 5:00pm
