ADMINISTRATIVE ASSISTANT 2 , Media Lab- Center for Constructive Communication (CCC) , to handle complex administrative responsibilities, with an emphasis on day-to-day financial operations. Responsibilities include handling all financial activities, e.g., expense reconciliations and reimbursements, purchasing, financial review and control reporting, accounts payable, record maintenance, credit card compliance, budget management, monitoring financial information, etc.; establishing/maintaining effective office organization for administrative tasks; providing support for academic activities, monitoring deadlines/due dates, maintaining professors' CVs, and scheduling general exams and Ph.D. dissertations; assisting with meeting scheduling and event planning; handling social media postings; liaising with other MIT academic/administrative offices; website maintenance; assisting with drafting and layout for quarterly newsletters; creating and updating a media content repository for logos, identity materials, photos/videos, etc.; managing director's travel, itineraries, and reimbursements and assisting group members with travel; greeting visitors and coordinating sponsor visits and research demos; triaging inquiries; orienting new people; calendar management; and other duties as assigned.
Job Requirements REQUIRED : high school diploma or its equivalent; at least three years' relevant experience supporting senior managers; proficiency with English grammar and composition; excellent editing/proofreading skills; attention to detail and accuracy; strong organizational, email management, critical thinking, and problem-solving skills; ability to exercise independent judgment, work within a team-oriented setting, and interact effectively with a diverse group of research staff/students/collaborators/visitors; and proficiency with Microsoft Office, Excel, Word, PowerPoint, Outlook, and Adobe. Seek a self-starter who can proactively engage and anticipate needs, handle multiple tasks concurrently, set priorities, meet deadlines, and take ownership of tasks in a demanding, fast-paced environment. This is a one-year appointment with the possibility of extension based on the course of the research.
The position will be fully remote until the MIT campus reopens, at which time this position will be fully in-person on the MIT campus.
