The ERSEA Assistant assures that the program maintains full enrollment serving the community's highest need children. This position must be held by an individual who can fully understand the Eligibility, Recruitment, Selection, Enrollment and Attendance (ERSEA) Head Start Performance Standards and is able to implement them accurately at all times.
The ERSEA Assistant will be evaluated on a combination of skills, dispositions and behaviors, some of which are related to the specific service area of this position and others that represent general expectations of all Mississippi State University - Extension employees.
The ERSEA Assistant's responsibilities primarily fall within the following core functions, although s/he may perform other tasks as needed: A. Recruitment B. Eligibility, Selection and Enrollment C. Attendance D. Service Coordination E. Record Keeping and Reporting

Essential Duties and Responsibilities:
A. RECRUITMENT: * Assure timely follow up on program inquiries and maintain updated tracking system of potential enrollees * Follow up and maintain updated tracking system for program phone and walk-in inquiries * Assist family service leadership with scheduling, planning and coordinating recruitment activities through the year
B. ELIGIBILITY, SELECTION AND ENROLLMENT: * Ensure the eligibility, selection, and enrollment processes adhere to HSPS and Mississippi State University - Extension ISP/PP * Review all applications received and work directly with families to ensure that all necessary enrollment/intake forms are completed and obtained in a timely manner for all children/families assigned to their Center(s). * Determine the eligibility of children/families, ensuring that all family documentation is accurate and complete * Determine family eligibility for extended day services and assist families with completing child care subsidy applications * Work with the Family Services Coordinator to enroll children and families based on selection criteria. * Maintain an up to date and accurate waitlist of eligible children to enroll in the event of attrition. * Maintain the funded enrollment level, work with FSC to fill vacancies as they occur, and analyze enrollment data to inform the planning process. * Keep up to date and knowledgeable of ERSEA requirements that are communicated through the Office of Head Start communications such as Information Memorandums, Policy Clarifications and Program Information documents.
C. ATTENDANCE: * As schedule permits, provide clerical support in attendance entry and follow up * Assist Family Services Coordinator to track Centers whose ADA falls below 85%, and to maintain Attendance Action Plans in Master Binder System
D. SERVICE COORDINATION: * Inform Health and Nutrition Coordinators, MHD, Early Learning and Family Services Coordinators regarding children with allergies, chronic health conditions or special needs to assure that medical documentation is received and case conferences occur prior to entry * Forward applications upon enrollment to appropriate family service staff member (Family Advocate, Family Engagement Advocate, Health/Disability Advocate, or Social Worker) for completion of intakes. * Coordinate with Program Information Analyst to assure that all PIR data is up to date in data system * As schedule permits, to assist Family Services staff with family follow-up to secure documentation for expiring health requirements and health follow up
E. RECORD KEEPING: * Responsible for inputting all application and ERSEA information in data system for all children who are enrolled or placed on the waitlist, including the scanning of necessary documents. * Maintain the ERSEA Master Binder, including all recruitment plans and required action plans regarding attendance. * Maintain program inquiry tracking through database or other tracking reports * Submit reports as needed and requested, such as monthly summary tracking reports, etc. * Participates in assigned meetings, events and training as required.

* High School Diploma/GED required AA/AS in social work, education or a related field preferred. * Knowledge/Experience of HS Performance Standards preferred * Bilingual (in Spanish) preferred and may be required for certain service areas to meet the needs of our population

Working Conditions and Physical Effort
Physical Requirements: * Ability to sit most of the time with some bending and reaching. * Ability to stand, walk, and bend periodically. * Ability to engage in repetitive movement of wrists, hands, and fingers - typing and/or writing. * Ability to work frequently at close visual range (i.e. preparing and analyzing data and figures, accounting, transcription, computer terminal, extensive reading). * Ability to receive and respond to oral communication. * Ability to exert up to 10 pounds of force to lift, carry, push, pull, or otherwise move objects.
Work Environment: * Work is generally performed in an office environment. * Noise level in the work environment is moderate to occasionally loud (examples: business office with computers and printers, light to moderate traffic, human voices). * Standard office equipment generally used includes: * Telephone * Personal Computer (monitor, keyboard, and mouse) or Tablet * Printer/Photocopy Machine * Calculator * Fax Machine * May be required to operate a motor vehicle during the course of duties.
