Reporting to the Senior Associate Dean for Innovation in Health Professions Education ("the Dean"), the Executive Assistant will provide outstanding administrative support.
Manage the Dean's complex schedules, respond to scheduling and meeting requests, make travel arrangements, and assist with preparation for meetings and other engagements.
Coordinate committee meeting and event planning, including preparation of agendas and presentation materials.
Arrange campus visits for collaborators, outside speakers, and candidates.
Prepare and or assist in creation of committee meeting minutes as needed.
Draft written correspondence, including confidential memos, notices to the community and material for online dissemination.
Manage office communications.
Triage incoming phone calls and emails.
Prepare, respond to, and route correspondence.
May maintain website content.
Represent the Dean in communications with internal and external contacts.
Build strong working relationships with collaborators across the institution to advance the activities of the Office.
Perform routine financial transactions such as employee reimbursements, check requests, and P-card reconciliation.
Pay routine bills and invoices.
Provide ongoing administrative support for educator faculty development programs.
Serve as liaison to the Provost's office.

Bachelors degree or equivalent in education and experience, plus three years of related experience.
5+ years of related experience.
Experience in a medical education or academic medicine setting.
Experience supporting senior leadership and/or running an administrative office in an academic environment.
Excellent organizational and analytical skills.
Demonstrated proofreading and editing skills with documents such as program proposals or reports.
Outstanding oral communication and interpersonal skills.
Must be able to work under minimal supervision and to set priorities and exercise sound judgment.
Ability to multi-task and perform as part of a team.
Requires strong knowledge of Microsoft Office suite, including Outlook.
As a representative of the Dean, the position requires maturity, highest levels of spoken and written communication skills, and the ability to provide outstanding support in a wide range of sensitive and confidential matters.
This position interfaces with high-level internal and external stakeholders requiring considerable discretion and initiative.
