The Advancement Records Coordinator supports the goals of Advancement at Washington and Lee through his/her work in data collection and integrity. Primarily charged with outward-facing interactions with donors and alumni, the Coordinator serves as the primary resource for gift receipting and proactive data collection.

Conceptualizes and manages a proactive system of data collection among alumni, specifically focused on employment data to enhance alumni networking efforts.
Generates and customizes tax receipts/acknowledgement letters for charitable contributions to W&L in a timely fashion. Generates and mails honor/memorial notifications for tribute gifts.
Responds to incoming internal and external requests and serves as an integral partner to the gift entry and biographical maintenance teams.
Maintains accurate process and policy documentation in accordance with IRS guidelines and regulations.
Manages record coding to track receipt and acknowledgement processing
Provides administrative support to the executive director.
High school diploma or GED required with a minimum of 5 years’ experience in a data management or accounting function. The Advancement Records Coordinator must have exceptional attention to detail and strong organizational skills. He/She must have experience working with a comprehensive relational database and should have some knowledge of gift and pledge transactions. Must be a proficient user of Microsoft Outlook, Word and Excel; experience with Raiser’s Edge is a plus. Must be sensitive to confidential personal, giving and asset information, and must be able to work in an office setting and follow organizational protocol.
The ideal candidate will have familiarity with higher education and the critical role information and data plays in alumni and development affairs. Collegiality, a positive outlook, and a desire to set an example with a strong work ethic are essential. Strong written communication skills. Ability to be self-directed and proactively suggest process improvement. Creativity, goal orientation, and attention to details.

Work Schedule: Monday - Friday, 8:30 am - 4:30 pm

Types of Work: Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
Weekly Hours: 35
Minimum Pay: $17.94/hourly Pay commensurate with experience.
