Oversee departmental personnel actions, ensuring compliance with University policies.Â Supervise medical secretaries and coordinators. Conduct performance reviews and timesheet approvals. Resolve various phone and messaging routing issues. Coordinate staff EPIC access and patient scheduling issues. Recruit staff, interviews, WorkDay hiring data entry, schedule onboarding, and training for new hires.Â Prepare the hiring paperwork and justifications.Â Assist employees with HR, payroll, and University questions. Coordinate purchasing, budget, and expense submission.Â Liaison with Cardinal Glennon regarding hospital policies and office space allocation.
Supervise secretaries and coordinators. Conduct staff meetings, write annual evaluations, develop job descriptions, conduct coaching, and counseling meetings.Â Work closely with HR processing PIMS and employee assignments.Â Prepare new hire paperwork for staff and student workers; submit changes for salary, grade, labor, or FTE adjustments.Â Review/approve BW timesheets, staff requests for time off.
Submit requisitions to post all staff positions. Meet with faculty, update position descriptions, make recommendations, contact prospective employees, schedule and conduct interviews, prepare the hiring proposals and schedule divisional training for employees. Obtain access to systems as required for the position (EPIC, Faculty 180), obtain hospital access cards. Â Process applications for Volunteers and Student Workers.
Provide back up support to division staff, making patient appointments, resolve various operational issues and phone/messaging system.Â Must have EPIC hands-on experience and comply with HIPPA law. Submit purchase orders, requisitions, budget, and reimbursement requests.Â
Serve as liaison with Cardinal Glennon regarding hospital policies, space allocation, facility management, and re-location of faculty and staff.Â Maintain collaborative practice agreements.Â Oversee registration and facilitation of PFCCS course 1-2 times annually.Â Assist an ER scribe supervisor with new employee access.
Performs special projects and other duties as assigned.
Knowledge, Skills, and Abilities
Computing hardware and software skills (i.e., MS Office, Outlook, EPIC, WorkDay, and Concur). Strong organizational, planning, analytical, interpersonal, and critical thinking skills.
Bachelors Degree in Business Administration, Nursing , Accounting, Finance or HR required, Master's Degree preferred. 3-5 years of experience of management/supervisory experience. Experience in clinical practice, budget, grant administration, recruitment, purchasing, and facility management is preferred. Also, EPIC experience is strongly preferred
