Interact with faculty, students, staff, and visitors personally and on the phone; help with routine and specific requests. In charge of purchasing and credit card reports and reconciliation utilizing UTShare procedures. Maintain incoming and outgoing mail, packages and deliveries, to include eShip Global for sending Air Mail or items by carrier (FedEx). Primary operator of copier and shredder. request syllabi each semester from faculty and keep office and electronic copies. Maintain key control and inventory; Assist in travel and purchase reimbursements. Generate grade changes/class roll adjustments in SharePoint; add students in courses using MyMav; time sheet report submissions each month in UTShare. Responsible for office purchases, inventory and maintenance to include monthly reports and purchases with requisitions in eShop. Perform other duties as assigned.
High School Diploma. Three (3) years of secretarial experience or the equivalent experience. Good communication, spelling, grammar, and keyboard skills. Strong computer skills.
Associate’s degree. Knowledge of MyMav student info system, expertise in Word, Excel, UTShare, and SharePoint. Experience with procurement cards, purchasing and reconciliation procedures and time sheets. Ability to use standard office equipment. Excellent communication, spelling, grammar, and keyboard skills. Two years of experience in higher education. Have a business background and familiar with office procedures. Computer knowledge for completing job requirements. Deal with many individuals and able to complete assignments with multiple interruptions. Must have ability to handle confidential/sensitive info end strong organizational skills.
