Department Chair Secretary
St. John's College - Philosophy Department
Works directly with Department Chair and Assistant Department Chair with Department correspondence and/or projects.
Assist students with questions concerning courses and helping them with course options.
Set up meetings or provide Chair and /or Assistant Chair contact information to students.
Following up by email and/or phone with students in a timely manner
Preparation of full-time contract when new or replacement faculty lines are approved.
Report time ly incidents, questions, or issues to the department chair.
Follow -up and review the budget, maintain records and advise the Chair of departmental financial standing.
Process payments though the check requisition system in UIS
Maintain an adequate supply of office supplies to support the office and departmental teaching needs.
Maintain and update the departmental syllabi in Blackboard/Canvas
Confer with college office regarding any issues that occur
Follow up on departmental matters with the appropriate university office
Support Departmental Faculty:
Coordinate with the college office and Human Resources during contract time and during new hire periods.
Assist all Philosophy Department faculty with copying, which consists of their exams, and any other specific correspondence or articles they may have.
Confer with faculty regarding student issues and/or conflicts.
Keep a record of all faculty address and phone numbers in Queens and Staten Island.
Assist Fr. Robert lauder, Professor of Philosophy, as well as other members of the faculty with:
Typing and copying of exams and syllabi,
Entering student grades,
Assistant student issues,
Assist in requesting books from the library or the bookstore.
Departmental Teaching/Course Schedule:
Prepare the Philosophy Department Teaching / Course Schedule each semester in consultation with Department Chair.
Follow-up on Banner regarding the status of the courses as well as conferring and updating the Chair on any discrepancies.
Process changes as faculty assignments and courses cancellations are determined.
Preparation of semester adjunct contracts, updating Adjunct Assignment worksheet and upon approval entering information into on-line Banner/UIS system to generate contracts.
Work with any new adjuncts to be hired in preparation of HR required paperwork.
Confer with Honors' Department concerning any Honors course conflict.
One schedule finalized post all, Fall, Spring, and Summer schedules in and around the office for students and faculty to view.
Organizes and updates department files and department supplies
Maintain and update the faculty picture poster which appears right outside of the Philosophy Department.
Post any bulletins, notices, etc.
Work though Conference Services to arrange and reserve conference rooms
Reserve conference rooms as needed for departmental meetings and functions.
Maintain the departmental office space in B30
Maintain faculty mailboxes,
Coordinate the reporting of computer issue to IT
Coordinate the reporting of maintenance issues to Facilities Dept. for repairs, etc.
Working knowledge of MS Office Suite(Work, Excel, PowerPoint, OneDrive), Internet and E-mail. Knowledge of Banner is favorable. Safely operate office equipment (Computer, copier, fax, printer, scanner and phone).
High School Diploma required. Minimum 3 to 4 years' experience, preferably In education setting. The ideal candidate must have excellent interpersonal, verbal and written communication skills. Also, good time management and organizational skills. Must exhibit flexibility and be able to perform successfully independently as well as with others.
