Reporting to the Director of Regis Center for Health and Wellness, the Business Operations Manager manages and coordinates all non-clinical aspects of the day-to-day operations of Regis Center for Health and Wellness as well as all medical insurance billing. This is a full-time, 12-month salaried position.
Supervises administrative office staff including hiring, training, work allocation and problem resolution.
Oversees all aspects of patient registration, scheduling, insurance verification, reception, patient medical records and medical and counseling staff schedules.
Creates and updates all clinic forms related to patient privacy, patient release forms, billing consents, Notice of Privacy Practices, etc.
Oversees compliance of student required health forms in CastleBranch portal.
Works with credentialing company on further insurance company credentialing; serves as the liaison for credentialing form processing/signatures as well as contact person for all other issues/needed documentation.
Works closely with the Director of Regis Center for Health and Wellness to develop and implement policies and procedures.
Oversees the maintenance of all medical providers and counseling schedules in the electronic medical record (EMR) system.
Reviews daily medical encounters in the EMR system to check for coding accuracy and completeness for medical insurance billing and reimbursement.
Submits all billing to appropriate medical insurance companies for services performed at Health Services.
Resolves patient and insurance billing issues to ensure accurate and timely reimbursement of insurance claims.
Ensures all appropriate insurance referrals have been obtained.
Processes all insurance and patient payments received and submits necessary documents to the Business Office.
Monitors patient accounts receivables in the EMR system and follows up on all past due balances.
Ensures compliance with HIPAA policies relating to patient registration forms, medical records and NP students precepting at Health Services.
Monitors medical and office supply purchases to ensure purchases do not exceed budgetary allowances.
Represents the Center for Health and Wellness at various campus committee meetings.
Assists with the supervision of graduate and undergraduate interns.
Plays an active role in the creation, planning, and execution of wellness events.
Serves as the social media point person for Health Services.
Performs miscellaneous job-related duties as required.

Bachelor’s degree and experience in health care operations.

3-5 years of health plan and some supervisory experience.
Experience in health insurance and medical coding.
Excellent written and verbal communication skills.
Ability to manage competing priorities and complete multiple tasks.
Expert in Microsoft Office Suite and Electronic Medical Records (EMR) systems.
Working Conditions/Physical Demands
Normal office environment, not subject to extremes in noise, odors, etc.
May spend extended periods at terminal, on telephone, or operating other office machines requiring eye-hand coordination and finger dexterity.
