Dept Marketing Statement This position is a key part of an active administrative office supporting the scientific efforts of investigators of the UCSC Genomics Institute. The Genomics Institute supports the scientific efforts of principal investigators, which involves approximately 110 personnel (which includes approximately 60 career staff, 10 academic non-faculty members, 30 graduate student researchers, and a handful post doctoral scholars and student employees), participating in projects supported by funds from the federal and state governments, private gifts, and the Howard Hughes Medical Institute (HHMI). Additionally, the GI provides funding support for approximate 80 additional personnel for GI related projects. The Genomics Institute Financial Services Analyst uses professional financial services concepts, knowledge of industry practices and expertise in databases to apply organization policies and procedures to resolve a variety of moderately complicated issues, with a non-exclusive focus on Genomics Institute personnel funding and recharge service administration. The position will be responsible for processes and performing payroll functions for funding approvals, UCPath entries, timekeeping activities for the GI recharge system, and various other payroll transactions and adjustments. Creates and pulls reports for analysis and applies organizational policies and procedures to resolve payroll funding issues. This position works directly with the Grants, HR, and Finance teams as well as Principal Investigators and external units on financial services problems of moderate scope where analysis of situations or data requires the use of databases and a review of a variety of factors. As a key part of the administrative team, they are responsible for the processes under their oversight being executed in a timely and accurate fashion; will actively communicate to administrative managers when issues arise and will research and suggest process improvements. The selected candidate should be excited to work in a fast-paced research environment within an institution of higher education in beautiful Santa Cruz, California.
Applies professional financial and accounting concepts to independently perform moderately complex internal financial services.
Works with grant managers, research accountants, principal investigators, and other administrative professionals to provide a diverse range of financial and payroll services and assistance.
Obtain funding for personnel (staff, academic, quarterly graduate student researchers) from Grants managers via internal database, update statuses, request approvals from principal investigators and research analysts via email, and maintain accurate documentation of approvals.
Performs UCPath funding entry and payroll adjustments. Reconciles payroll ledgers against personnel funding approvals.
40% - Recharge Billing Administration:
Assists with ensuring the financial processing of internal recharge billing.
Manage internal recharge service administration, support, and billing by accurately maintaining monthly recharge timecards, monthly reports and system user and data charges records and reports, uploading into divisional recharge billing system, and providing troubleshooting support as needed.
20% - Process Implementation:
Conducts or assists with researching, developing and implementing new and changing business processes.
Effectively addresses difficult and complex database and/or process inquiries.
Documents processes and procedures for financial activities.
Bachelor's degree in related area and / or equivalent experience / training.
Working knowledge of finance principles and experience providing financial services.
Knowledge of financial data management and reporting systems.
Experience with and proficiency in the use of spreadsheet and database software.
Experience and demonstrated skills organizing work, multitasking, and managing time to complete projects accurately and on deadline.
Demonstrated ability to work cooperatively and effectively with others to set goals, resolve problems and make decisions that enhance organizational effectiveness.
