The Department of Pediatrics at Columbia University Irving Medical Center is seeking an Administrative Assistant to join our team in a full time position to work within the Division of Cardiology. This position will support the department by providing administrative support to our four-catheterization physicians and in working with our current administrative support structure to meet the growing needs of our Cath program.
Primary functions include: oversee the design, maintenance and implementation of integrated clinical registries, research and administrative data systems and to implement data analytics to ensure data quality, analyze quality of care, and provide statistical support for the pediatric heart center.
Work in conjunction with current cath team administrative support to ensure scheduling of all patients who require procedures occurs in a timely and organized fashion.
Assist internal and external stakeholders to ensure that all insurance information, pre-authorizations and referrals are in place prior to procedures
Work with billing and coding teams as appropriate to ensure bills and codes are submitted in a timely fashion by providing clinical documentation as requested, liaising with physicians to answer questions related to the specific cases, etc.
Maintain appropriate clinical documentation as requested.
Support physicians in managing calendars and answering phones for the Cath team.
Develop and maintain clear and concise communication with clinicians, administrators and information infrastructure within the medical center.
Assist with the optimization of the flow of information to and from potential sources.
Other related duties as assigned.
Requires a Bachelor's degree or equivalent in education and experience required plus two years of related experience.
Ability to speak Spanish fluently
Excellent organizational skills; ability to juggle many projects at the same time.
Problem solving skills and ability to think algorithmically.
Excellent analytical and organization skills.
Excellent verbal and written communication skills.
Work requires manual dexterity for handling charts and using office equipment - specifically the use of a computer keyboard and calculator
Must be able to stoop and bend to retrieve files and supplies, and sit, stand or move around for extended periods.
