Program Assistant II - Office of Student Success 16358
The Office of Student Success in the College of Physical Activity and Sport Sciences at West Virginia University is seeking applications for the Student Success Program Assistant II. This position is responsible for providing daily support for student recruitment, retention, and career planning of all students within the College of Physical Activity and Sport Sciences.
In order to be successful in this position, the ideal candidate will:
Provide Administrative support to the Associate Dean for Graduate and Online Education, Director of Undergraduate Education, Assistant Dean for Student and Enrollment Services, and the Office of Student Success Staff.
Interact with students who choose an electronic advising plan.
Support recruitment efforts by assisting in the development and delivery of communication materials to prospective undergraduate and graduate students.
Coordinate the academic status update process (major changes, minor additions) for incoming, current, and outgoing students.
Support the advising staff by scheduling appointments, answering phones, and responding to emails.
Assist with admission process for graduate degree programs: Development of communications, application review, manage communication plan, help with registration, and facilitate onboarding of graduate students.
Communicate with prospective undergraduate students via phone and email to facilitate the admissions and on-boarding process.
Support student retention efforts in delivery of weekly CPASS student newsletter; reformat digitally for document saving and provision of information (coding for storage and archival purposes).
Manage CPASS email account and academic webpages in addition to answering main phone line to screen incoming calls; answer inquiries and direct calls appropriately.
Complete certification process for NCAA student athletes, Academic Common Market, Ohio Reciprocity, and Veteran Affairs.
Support all advising staff in lifting department holds, registration restrictions, etc.
Utilize various institutional databases, including STAR/BANNER, DegreeWorks, Hobson's AppReview, Navigate, Argos, and TargetX.
Assist in verifying academic records to certify student progress toward degree completion.
Schedule meetings with appropriate staff, faculty, and administrators, and assists with agenda preparation and notetaking.
Assist with graduation certification.
Collaborate with staff assigned to course scheduling and manage updates as needed.
Pay Grade: 13
Associate's degree or an equivalent combination of education and experience.
One (1) year experience performing administrative or programmatic support; experience in educational setting is preferred.
Ability to use a variety of computer programs.
Strong organization, time management, multi-tasking, and prioritization skills.
Demonstrated strong oral and written communication skills.
Strong customer service skills.
Near constant office environment, primarily sitting at a desk, working with a computer and answering phones, occasionally lifting up to 20 pounds of incoming deliveries of flyers and promotional materials.
