1. Coordinates the activities of the Vice President based on a thorough understanding of that position’s priorities, needs and roles within the College and also manages general office functions and activities within the division’s office and designated departments. 2. Serves as a primary department liaison with college personnel, students and the public at large; uses judgment and discretion when independently handling routine and/or highly sensitive inquiries/situations; understands when to elevate those requiring more in-depth expertise to the immediate manager or other appropriate parties. 3. Follows established policies and procedures when handling or referring sensitive student or College personnel matters; represents the Vice President’s philosophy of care, gentleness and compassion in all interactions. 4. Maintains confidential records and files needed to provide assistance to the Vice President in the recollection and/or retrieval of previously discussed divisional or student concerns. 5. Composes, edits, prepares a variety of correspondences for approval by the Vice President; coordinates monthly Board actions relevant to the office and division; assist with the development, revision and implementation of policies and procedures. 6. Carries out and/or leads special projects that include but are not limited to data research, reports, compilation, manipulation and tabulation of statistical data, basic audits, record analyses and surveys. 7. Represents the department at designated meetings where appropriate and provides a summary of the content of that meeting; attends divisional meetings, prepares minutes and provides assistance as directed with actions resulting from the meetings; 8. Independently prioritizes, plans and coordinates logistics for meetings, events and activities in collaboration with other College departments; may provide guidance to divisional support staff or personally handle responsibilities related to travel arrangements, appointment scheduling, events such as: receptions, luncheons, commencement, and meetings for the Vice President and the coordination of interaction with external divisional clientele and internal staff and students 9. Monitors and orders divisional supplies; prepares memorandum invoices for payments and reimbursements 10. Related projects and duties as assigned
1. Bachelor’s Degree, however an Associate’s Degree and an additional two years (total of four years) of directly related experience may be substituted in lieu of a Bachelor’s Degree. 2. Two years’ of experience providing direct assistance to a senior organizational leader that required effective liaison skills, exceptional oral communication skills and professional acumen when interacting with a variety of contacts/clients and included the handling of sensitive situations, confidential information and special projects in a busy client focused environment. 3. At least two years’ experience serving as a meeting recorder and preparing subsequent minutes. 4. Ability to serve as a project leader and assist with the supervision of others when necessary. 5. Demonstrated proficiency in the use of Microsoft Office Suite and a database system (CRM, ERP, etc.) that required the ability to create and update records and standard reports; prepare detailed materials, documents and communications; conduct research; and use and/or update website information.
