The Migrations Global Grand Challenge Initiative at Cornell University is housed within the Office of the Vice Provost for International Affairs (OVPIA). The initiative aims to cultivate new collaborations that advance science, scholarship, teaching, outreach, and engagement in ways that generate new insights into critical problems. The Migrations Initiative is the recipient of a Mellon Grant titled Cross-Border Movements: Racism, Dispossession and Migration. This three-year grant will be used to create collaborative research, learning, and public engagement spaces and develop an antiracist and anticolonial agenda that transforms the university and advances racial justice.
The Administrative Assistant under the very general supervision of the Program Manager, will provide administrative support for the Migrations Initiative and serve as the program's first line of contact for faculty involved in the Migrations initiative. Work collaboratively with and on behalf of a diverse, international constituency made up of faculty, academic visitors, staff, and students across multiple colleges, units, and programs.
Arrange and coordinate a wide range of special events and curricular offerings. Update/circulate calendar of events; coordinate logistics for conferences/seminars/lectures, visitors, and special meetings. Support program manager and faculty involved with the Migrations initiative.
Perform financial and travel transaction processing to support the needs of the program. Follow established guidelines to ensure transactions and payments are in-compliance with applicable University or external policies. Reconcile and audit monthly procurement card statements and financial transactions. Provide monthly event and office supply expense reports to the program manager. Assist the program manager in the coordination and support of grants and fellowships, travel grants, and visiting scholar/fellow programs serving as the key liaison with various faculty and campus units.
Create and maintain contact lists and listservs for Migrations Initiatives constituencies. In support of general office functions; answer telephones, greet incoming guests, purchase supplies, maintain general office files, and research course data; co-supervise student office staff.
This is a three-year term appointment.
Required Qualifications: Specify required minimum equivalency for education, experience, skills, information systems knowledge, etc.
Associates Degree and 2-4 years of relevant experience or equivalent combination. Ability to work independently and efficiently in a high-paced and demanding office environment while maintaining a positive, service-oriented attitude focused on excellence. Cultural sensitivity and ability to work harmoniously with diverse constituencies is expected.
Self-motivation, sound-judgement, excellent organizational skills, and attention to detail are essential. Ability to juggle a variety of tasks at any given time; Requires creative problem solving and analytical skills managed with a "can-do" approach; Expertise in event planning (may be required to work outside of normal work hours on occasion); Strong technical skills and experience with Microsoft Office Suite and Adobe Suite; familiarity with, or a strong aptitude for learning, University systems and content management systems (i.e. Drupal) desirable.
