UW Medicine’s Information Technology Services (ITS) department is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center-Montlake Campus (UWMC-Montlake), UW Medical Center-Northwest Campus (UWMC-NW), Valley Medical Center (VMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM) and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children’s University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research and Seattle Children’s). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all of these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.
In collaboration with UW Medicine IT Services (‘ITS’) and under the general guidance of the Manager, CIS Education, the primary focus of the Training Specialist – Development position is to support the development and delivery of effective application courses for a diverse audience of multidisciplinary faculty, staff, and clinical medical students. The Senior Training Specialist – Development will apply adult learning principles and a strong working knowledge of Electronic Health Record (‘EHR’) functionality and features to analyze, design, develop, implement, evaluate and maintain effective information systems application courses using a standardized instructional design methodology.
The Training Specialist – Development role is essential to the creation, accesibility and improvement of requisite education programs for UW Medicine practitioners, clinicians, staff and students, including enterprise curricula. Each Training Specialist is assigned specific, unique modules, but may work on others as required.
The Training Specialist – Development will:
develop new curricula and materials to support EHR application projects;
utilize continuous quality improvement principles to evaluate and revise existing curricula as part of the routine maintenance of the EHR application training programs and materials; and
deliver course content for a variety of learning modalities including instructor-led classroom and virtual courses, e-Learning solutions and “in-service” sessions in outpatient and inpatient settings.
Curriculum Design, Development and Evaluation (40%)
Develop enterprise-focused learning objectives, course outlines, assessments, storyboards, instructor manuals, participant materials, job aids/tip sheets and other supplementary training deliverables.
Support Senior Training Specialists in deconstructing defined clinician workflows into specific tasks and steps and incorporating them into clear, concise training materials, job aids and other documentation for use during clinical information systems training, implementations, new functionality releases and quarterly updates.
Maintain consistency and alignment of curriculum at an enterprise level, using standard tools and templates.
Apply principles of adult learning theory, group dynamics and group facilitation. Additionally, under the guidance of Senior Training specialist, apply needs analysis, program design and evaluation, and change management into day-to-day practice, course delivery and program offerings.
Under the guidance of Senior Training Specialists, partner with clinicians (e.g., Nursing, Physicians, Pharmacy, etc.), Clinical Informaticists and Build Analysts to review curriculum.
Collaborate in cross functional project teams with training team members, application analysts, project managers, informatics specialists, communication analysts, stakeholders and subject matter experts to ensure curriculum is effective and meeting clinical needs.
Update templates, Style Guide, graphics and icons based on recommendations to current materials.
Conduct curriculum audits to monitor and document enterprise compliance with delivery of standardized curriculum.
Revise existing curriculum and materials based on feedback from class evaluations.
Participate in instructional design and development review cycles.
Assist with maintenance of Learning Home Dashboards (LHDs).
Update or archive as part of quarterly maintenance cycle based on review feedback.
EHR Train Domain Build and Maintenance (20%)
Document requirements for the EHR training domains.
Collaborate with technical teams, CIS Education Domain Analysts and CIS Educators to ensure system functionality and patient data in the training domains.
Provide support issues that arise in the training environment.
Training Delivery (10%)
Effectively conduct a variety of instructor-led and virtual clinical application classes, in a classroom and/or direct care setting, to health care providers. Training is defined as both group instruction and one-on-one, and includes, but is not limited to nurses, physicians, respiratory care specialists, nutritionists, social workers, rehabilitation therapists, supportive staff, expert users and students.
Demonstrate an ability to understand and relay to staff and practitioners complex information systems concepts that relate to their workflows.
Adopt and follow enterprise EHR facilitator and participant workbooks developed by the Clinical Applications Instructional Design team when delivering instructor-led or virtual classroom training to ensure consistency in application training.
Incorporate teaching methods and delivery platforms which increase learner comprehension and retention, and lower EHR application training costs.
Administration, Communication and Reporting (10%)
Partner with Senior Training Specialist – Delivery to provide content to the Clinical Applications Communication Lead, CIS Communication and Program Support Analyst, and CIS Assistant Director of Education for department-specific communications regarding curriculum, as needed.
Partner with Senior Training Specialist – Delivery to communicate and liaison with IT Services project managers for specific project initiatives and report project status, updates, and other pertinent information to manager and education team members.
Identify and escalate to Senior Training Specialist – Development documented departmental change resistance.
Document EHR issues, functionality changes, and application best practice reminders in weekly end user reports.
End User Support (10%)
Provide onsite and remote application usage support for staff and clinicians, both during business hours and on a rotating schedule of non-business hours, for application implementations, scheduled and unscheduled application downtimes, and on an ongoing basis.
Provide application usage support and just-in-time training in clinical work areas in order to maximize clinician use of EHR applications, to reinforce established best practices, and to provide advanced skills and tips to users.
Review and resolve training requests logged in the help ticket queue.
Conduct troubleshooting testing and use critical thinking skills to assess issues and impact to end user groups. Report findings to clinical application/informatics analysts and/or IT Services and suggest possible solutions.
Perform issue tracking as assigned.
Perform activities needed to resolve application and process problems.
Analyze and troubleshoot application issues to ensure established Service Level Agreements are maintained.
Identify need for support plans and escalate to Operations and Support team in writing.
Identify potential transition and change management issues and recommend effective solutions to the clinical informatics analysts.
Participate in implementing transition/change management solutions for large scale implementations.
Demonstrate proficiency using desktop monitoring tools as part of remote support responsibilities.
Other Responsibilities (10%)
Participate in interview teams for new Education/Training Specialist applicants and provide feedback to hiring manager.
Maintain knowledge and expertise in EHR application functionality and current and future state clinician documentation procedures.
Participate in all aspects of improving the team, including education/training of other team members and contributing to process/communication improvement initiatives.
Work with manager to set professional goals for career development.
Perform other duties as assigned, including acting as back-up for other team members and functions as needed.
Bachelor's degree in Healthcare, Education, Instructional Design, Technical Writing, Business Administration, or related field or equivalent combination of education/experience.
2+ years’ experience must include:
2+ years of experience designing and developing curricula in a complex environment, using standardized instructional design methodology and adult learning theory.
2+ years of experience designing and developing curricula that integrate information technology solutions with end user workflow.
Excellent verbal and written communication skills, including:
Experience writing, proofing and editing courseware content for grammar, accuracy and clarity.
Experience presenting effectively and confidently, tailoring delivery for desired results.
Experience creating multi-media and eLearning programs using authoring tools such as Captivate, Lectora, Camtasia, Storyline, and Firefly and experience with designing education that incorporates web technologies.
Proficiency in MS Outlook, Word, Excel, PowerPoint, Publisher, Adobe Acrobat Professional, and SharePoint.
Familiarity with project planning and control techniques, such as work breakdown structures, critical path analysis, resource analysis and conflict resolution.
Familiarity with project risk management.
Ability to synthesize operational data, literature and verbal input into appropriate policy and procedure.
Experience in organizing, planning, and executing projects from vision through implementation, involving internal personnel, contractors, and vendors.
Previous Epic Credentialed Trainer experience.
Previous experience in and knowledge of academic healthcare systems and/or operational environments.
Master’s degree in Education, Instructional Design, Adult Learning, Technical Writing, English, Clinical Informatics, Healthcare, Communication, Technology, or related field.
Recent experience training EHR clinical applications in an inpatient, acute or ambulatory care organization is desirable.
Experience providing training to a variety of adult learner groups; preferably technical training.
Experience designing, developing, and delivering clinical information systems curricula and training to healthcare providers.
Working knowledge of adult learning theory, group dynamics, group facilitation, needs analysis, instructional design, program design and evaluation, and change management.
Experience using learning management systems including course scheduling, tracking, and program management software.
Knowledge of continuous process/quality improvement processes and their application in creation of education programs that are evidence-based, data driven, and outcomes oriented.
Experience working with a standard framework for project development and delivery.
CONDITIONS OF EMPLOYMENT
This is an Information Technology deadline-driven work environment.
The individual in this position is expected to work normal daytime hours. The work may be performed in either an office environment or by telecommuting with manager approval, during normal business hours; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
Must have the ability to meet in person as directed by manager.
Because of the physically separated sites for UW Medicine, this position requires the ability to travel to alternative work locations as needed.
Must coordinate projects without direct supervisory authority.
Must work within the constraints of multiple technical environments.
