The School of Nursing has an outstanding opportunity for a Continuing Education Coordinator. As part of the Continuing Nursing Education team (UWCNE), CE Coordinators support this self-sustaining unit's operations within the UW School of Nursing (SoN), including collaboration with stakeholders event management, and program support.
Reporting to the Director of Continuing Nursing Education, this position will provide program and operational support. These programs are offered across a variety of in-person conferences, hybrid specialty programs, and online courses for nurses and other health science professionals. The CE Coordinator will collaborate with the Nurse Planners and other SoN faculty and staff to develop and deliver training programs for clinical and community agency partners and leaders.
This position requires a commitment to customer service, the ability to work collaboratively in a changing environment, and the skill to work with members of the University community (faculty, staff, and students) who have diverse skills and expertise. The CE Coordinator must support a range of activities related to the programs, conferences, and training of this self-sustaining unit, including event coordination, program development, fundraising, community engagement, instructor/speaker support, and other organizational initiatives.
Responsibilities: •Coordinate the preparation of conferences and workshops. •Assist in the onsite, day-of, administration of conferences, workshops, and training programs. •Coordinate the implementation and managing of conference sponsorship program. •Manage post-conference evaluations and information for planning committee members and instructors/speakers. •Provide support to and collaboration with the CNE Director, Registration Manager, other CNE staff. •Participate in general CNE operations, special projects, and new initiatives.
Job Duties and Responsibilities:
Coordinate preparation of continuing education conferences, workshops, and training programs: •Monitor and coordinate conference budgetary concerns with Director and Registration Manager. •Coordinate conference locations and arrange support services. •Assist in negotiating contracts for venues and catering services. •Coordinate plans for registration, meeting, and exhibit spaces. •Coordinate the onsite operations management for the conferences and workshops. •Coordinate all speaker travel, forms, payments, and related activities (i.e., travel arrangements, payments, disclosure & biodata forms)
Assist in the onsite, day-of, administration of conferences, workshops, and training programs: •Coordinate registration, openings & closings, speaker orientation, catering, and support services. •Coordinate room assignments and support staff. •Coordinate exhibit space, signage, supplies, and equipment. •Coordinate the set-up and breakdown for all live events.
Coordinate the implementation and managing of conference sponsorship program : •Coordinate and implements sponsorship programs for all conferences and workshops. •Monitor budgetary concerns for sponsorship programs and provides weekly updates to the Director. •Compile with procedures and policies governing sponsorships for all conferences in accordance with ANCC policies. •Recommend sponsorship fees, prepares sponsorship budgets, and monitors revenues collected from sponsors. •Maintain records of contracts.
Manage post-conference evaluations and information for planning committee members and speakers: •Design evaluation instruments, analyzing feedback, and providing recommendations regarding conference design and speaker selection. •Generate thank you letters to speakers for signature of Lead Nurse Planner. •Provide feedback from summary evaluation data for speaker rating. •Provide summary comments from participants regarding speaker lecture.
Provide support to and collaboration with the CNE Director, Registration Manager, other CNE staff : •Coordinate records management. •Coordinate the dissemination and collections of all speaker-related forms and materials.
Participate in general CNE operations, special projects, and new initiatives: •Coordinate planning committees, speakers, and topics for conferences. •Coordinate with SoN Learning Technology to determine and implement support needs. •Coordinate changes to the CNE website and other marketing material as it relates to dates, location, community interest, and appeal. Coordinates orientation for new employees and volunteers.

Requirements: •Bachelor's degree in a related field and/or equivalent work experience in a similar role. •One year of administrative/coordination experience in continuing education, health care, or not-for-profit setting.
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
Desired: •Prior use of Salesforce and Pardot, or equivalent CMS products. •Experience using Learning Management Systems to deliver online training. •Intermediate experience using MS Office 365 to coordinate collaborative projects. •Experience developing agency partnerships (ideally related to health care) •A strong focus on customer experience and a basic understanding of marketing concepts •Experience with talent recruitment (SMEs) and instructor/speaker support
Supervision: •This position is supervised by the Director for Continuing Nursing Education. •This position supervises administrative support staff and volunteers as needed.
