The Job Planner/Estimator serves as a primary liaison between Sales staff and all internal/external production departments and is responsible for coordinating the initial setup of print production projects. This position calculates digital and offset printing cost estimates, initiates print job tickets in production MIS system, coordinates work with external print and finishing vendors, and orders paper. Each project is carefully analyzed, and production recommendations are made based on efficiency, cost effectiveness, timeliness, and quality requirements. The Job Planner/Estimator consults with production staff to maximize effectiveness of job planning, communicates regularly with sales consultants, and works closely with the Print Production Manager to plan and schedule in-house and contracted print projects. This position also assists with developing and updating standards and pricing formulas for equipment and production processes used to calculate cost estimates. Work performed must meet or exceed all customer expectations and successfully serve the needs of the University of Minnesota.
25% Estimating • Prepare work to be estimated by gathering and studying mockups, specifications, and related documents • Evaluate best method of production by identifying labor, material, vendor, and time requirements for each project • Compute production costs and supply completed estimates to Sales Consultants • Work closely with Sales Consultants to obtain additional information and recommend alternative solutions; refine estimates based on new information and customer feedback • Work closely with Print Production Manager to evaluate and select external vendors based on supplied pricing and quality of work • Provide ongoing evaluation of new technologies, making recommendations for cost savings and quality improvements
35% Ticket Initiation / Job Planning • Review instructions/specifications from customer-supplied online orders and from orders supplied by Sales Consultants; communicate with consultants to clarify customer requests and expectations • Negotiate timelines, coordinating with Sales Consultants, Print Production Manager, and production staff to ensure due dates meet expectations • Advise Sales Consultants about alternative production options that may improve quality, timeliness, or cost of project • Use production MIS system to write job tickets, confirming that tickets have complete and clear information for all production staff • Provide back-up support for various responsibilities of Print Production Manager
25% Coordination with External Vendors • Work closely with external vendors to obtain bids for printing and/or relevant finishing services • Write purchase orders and work proactively to coordinate timing and production with external print and finishing vendors
15% Paper Ordering • Write purchase orders and place orders with contracted paper vendors • Work closely with Print Production Manager to coordinate delivery of paper for in-house printing and delivery to external print vendors • Participate in planning and evaluation of RFPs for paper contracts
Essential Functions of the Position
Evaluate printing requests to determine the most efficient and cost-effective way to successfully complete each project. Provide printing estimates. Establish strong working relationships with print and finishing vendors, working closely with them to obtain competitive pricing and quality, timely service. Order paper and coordinate delivery for in-house and vendor-supplied printing. Work collaboratively with production staff and Printing Consultants to provide excellent customer service to the University of Minnesota.
Start Salary Range: $60,000 - $65,000
Work is performed in a production environment.
Minimum Qualifications Work requires strong computer skills, knowledge of a wide range of digital and offset printing processes, an extensive understanding of paper, and a desire to communicate effectively with both internal and vendor staff. A BA/BS degree plus at least five years of experience or a combination of related education and work experience to equal at least nine years is required.
