The Assistant Project Manager is part of the Campus Planning & Construction department at Vanderbilt University and is a key individual contributor responsible for assisting in the managing of Facilities design & construction activities. This position will be assisting in the managing of design & construction activities for capital projects using set goals and expectations that are provided by VU, governing bodies and authorities having jurisdiction over VU projects. This position must understand fully the nature of the project, understand the complete development cost for the project, and keep all parties informed as well as seek direction from appropriate sources. The position will manage or assist in the management of multiple projects and should possess the ability to work in a team environment.
Facilities annual budget exceeds $100 million in operating expenses and includes ~500 employees. Facilities manages major capital project expenditures totaling ~$125 million annually and facility renewal, replacement and large maintenance project expenditures totaling ~$20 million annually. Currently, Campus Planning manages over $800 million of projects in design and construction.
Duties and Responsibilities
Overall Project Assistance
Coordinates user meetings to review project design documents
Reviews specific project related documents for accuracy and completeness
Assists in ensuring close-out project documents are received and complete
Assists in reconciling budgets for small construction projects
Reviews and tracks project progress
Serves as a resource for answering the questions of other project managers, Facilities personnel and members of the Facilities Business Operation Center (BOC), as needed
Assists project managers, Facilities personnel and BOC contracts administrator on obtaining information required to complete master work agreements, professional service agreements and other construction-related contracts
Ensures timely completion of tasks in line with project and department objectives
Demonstrates ability to realistically anticipate resource needs, set priorities, and organize work
Project Management System (eBuilder)
Obtains full knowledge of eBuilder system
Assists with eBuilder project intake and pre-intake validation processes
Tracks process age steps in eBuilder and assists with prompting project managers on next steps
Serves as liaison with vendors regarding account setups in Oracle and eBuilder
Works with primary project managers to update project estimates and budgets within eBuilder
Bachelor's degree, or equivalent work experience, is necessary; b ackground or degree in engineering, architecture or construction project management i s preferred
Previous experience in higher education is desired
Knowledge of facilities, design, and construction industry is preferred
Experience with BIM, LEED, WELL, and Living Buildings is preferred
High level of technical skills with industry programs in information systems is preferred
Experience with AutoCAD 2018 and Adobe Acrobat Suite is desired
