University of the Sciences (USciences) has an immediate need for a qualified candidate for the position of Budget Coordinator. Reporting to the Associate Vice President of Facilities, the Budget Coordinator supports the Operations and Maintenance Department. Responsible for preparing monthly facilities related reporting for distribution and analysis. Proactively assess the operations and maintenance financial status throughout fiscal year.

Coordinates and performs a range of staff and/or operational support activities for the unit; serves as a liaison with other departments and operating units in the resolution of day-to-day administrative and operational problems.
Develop and maintain capital expenditure reports for all construction related projects.
Generate and maintain a monthly campus asset report.
Monitor and track the budget to actual variance report.
Assist in creating and maintaining the operating and capital budget.
Initiate and coordinate all account close-out process in coordination with department managers.
Test for accuracy, completeness and compliance with all university guidelines and any contractual obligations.
Collaborates with peers, administrators, faculty members and others to improve the function.
Serves as the facilities management representative to constituencies on campus and represents the department in a collegial, responsive, flexible, customer friendly and professional manner.
Ensures that the department is delivering its services in the most cost-effective manner.
Provides administrative/secretarial support for the department/division such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries.
Operates personal computer to compose and edit correspondence and/or memoranda from dictation, verbal direction, or from knowledge of established department/division policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.
Develops and maintains data and performs routine analyses and calculations in the processing of data for recurring internal reports, such as payroll time sheets, sick and annual leave documents, purchasing and employment documents, and/or stock and capital equipment inventories.
Establishes, maintains, and updates files, databases, records, and/or other documents.
Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for supervisors, which may include coordinating travel and lodging arrangements.
Creates and sustains an environment that fosters teamwork, excellence, customer service, cooperation, respect, and diversity.
Assists the Facilities Department manage the work order system.
Performs other tasks as assigned or requested.
Skills, Knowledge, and Abilities Required
Bachelor's degree (ideally in an accounting discipline) or five+ years of related experience in lieu of a degree.
Minimum of 2 - 3 years of budgeting experience.
Experience in budget preparation and fiscal management is required.
Strong organizational skills.
Ability to oversee multiple projects concurrently.
Ethic of customer service with a proactive, team-oriented approach to both internal and external customers.
High level of comfort with a fast paced, sometimes hectic environment where priorities can change rapidly.
Flexibility to manage unusual events, as necessary.
